This is a fully remote position, open to applicants in Texas.
• Respond to, screen, and manage calls utilizing a multi-line phone system.
• Collect and relay messages to the appropriate personnel.
• Schedule appointments with surgeon offices and facilities within a multi-provider environment.
• Execute clerical tasks for both physician and corporate offices as necessary.
• Deliver exceptional customer service.
• Organize the following day's schedule in collaboration with physicians.
• Develop and maintain daily/monthly call, meeting, and vacation schedules, distributing them accordingly.
• Input schedules into the database and disseminate them via fax, email, or postal mail.
• Fill any open shifts and urgent openings.
• Negotiate with clinicians.
• Daily upload and refresh website scheduling information.
• Generate and compile reports for management.
• Teach new clinicians about scheduling protocols and guidelines.
• Collaborate with site scheduling administrators to ensure coverage requirements are fulfilled.
• Reconcile clinician hours and submit payroll reports, providing necessary analysis.
• Maintain consistent and punctual attendance.
• Carry out quality assurance, recruiting, or office administrative tasks based on the region.
• Undertake additional responsibilities as assigned.
• Participate in information systems security training when available and report any security issues.
• High School Diploma or High School Equivalency.
• 1 to 2 years of experience in a business office, hospital, or physician practice environment.
• 1 year of experience in customer service.
• 1 year of anesthesia scheduling experience is preferred.
• Experience with QGenda is preferred.
• Familiarity with EMR Systems is preferred.
• Capability to interact politely and respectfully with patients and their families.
• Ability to present information and address inquiries from managers, patients, and the public.
• Proficiency in basic arithmetic involving whole numbers, common fractions, and decimals.
• Competence in identifying problems, gathering data, establishing facts, and drawing valid conclusions.
• Flexibility to adapt to varying work speeds.
• Skills in making fact-based decisions.
• Ability to build relationships with professionals, clinicians, and hospital staff.
• Strong computer literacy, including MS Office, Access, and Windows applications.
• Compliance with HIPAA standards, policies, procedures, and patient confidentiality requirements is essential.
• Adherence to information systems security policies and procedures is necessary.
• Fully remote work from home.
• After-hours on-call duty may be required.
