This is a fully remote position, open to applicants in South Africa.
• Oversee a substantial volume of both outbound and inbound communications, achieving a target of over 150 calls each day to new prospects, current patients, and follow-ups.
• Act as the initial point of contact, responding to all incoming calls with a friendly, professional, and authoritative tone.
• Arrange and confirm appointments for a diverse array of services, including IV Therapy, Acupuncture, and General Naturopathic consultations.
• Actively follow up on website inquiries and re-engage previous patients to ensure seamless continuity of care.
• Address common patient concerns related to pricing, insurance, and decision-making with empathy and confidence.
• Keep precise records in Google Sheets and Google Calendar to optimize the clinic's scheduling.
• Implement text and email follow-up sequences to reduce no-show rates and maintain patient engagement.
• Demonstrated experience in appointment scheduling or high-volume outbound calling.
• Outstanding verbal communication skills and a strong phone presence—must articulate clearly and professionally.
• Excellent active listening abilities; capacity to engage in genuine conversations without sounding mechanical or reliant on scripts.
• Experience managing sales objections (e.g., "It’s too expensive" or "I need to think about it") while preserving a supportive, consultative demeanor.
• Strong organizational skills with the capability to take detailed notes and independently manage daily responsibilities.
• Availability to work from 8:00 AM to 5:00 PM Hawaii Standard Time (HST).
• A dynamic personality with an innate ability to inspire others and quickly establish trust.

• Prior experience as a receptionist or coordinator within a medical or wellness clinic.
• Familiarity with Keap Pro or comparable CRM software.
• Interest in or knowledge of Naturopathic Medicine and holistic health practices.
