This is a fully remote position, open to applicants in United States.

📋 Description

• Collaborate with the Vice President of Industry Relations, Senior Director of Meetings, and the relevant marketing team to develop the industry prospectus for organizational meetings.

• Proactively identify and pursue new exhibitors, sponsors, and advertisers within the interventional cardiology sector.

• Manage the complete sales cycle for exhibits, sponsorships, and advertising across the organization's flagship meetings, including Scientific Sessions, SHOCK, and Fellows Courses, as well as regional meetings as required.

• Establish and nurture year-round relationships with key accounts to enhance retention and facilitate year-over-year growth.

• Promote the sales of exhibit booths, promotional sponsorships, and advertising for Organization Meetings.

• Work with the Vice President of Industry Relations and the Finance team to create an industry opportunities price list, coordinating with the M Events team to ensure timely and accurate uploads to the exhibitor portal.

• Partner with the Senior Director of Meeting Operations to develop and update exhibit hall floor plans for organization meetings.

• Act as the main point of contact for onsite exhibitor customer service, escalating issues to the Senior Director of Meeting Operations as necessary.

• Coordinate logistics for exhibitors, including assignments for exhibit hall floor plans and the preparation of exhibitor service kits in collaboration with the Senior Director of Meeting Operations.

• Assist in executing exhibit hall gamification initiatives, collaborating with the Industry Relations Coordinator to continually refine strategies that enhance attendee engagement and drive more traffic to exhibitor booths.

• Facilitate the review and submission of onsite signage and walk-in slides in partnership with the Senior Director of Meeting Operations and the Marketing team, engaging relevant members of the Industry Relations team to ensure timely reviews and accuracy.

• Provide assistance in placing sponsors' onsite signage as needed.

• Oversee the submission of pre-registration hands-on sessions for both organization-sponsored and industry-supported programs, serving as the primary contact for sponsor communications related to the registration portal.

• Collaborate with the Industry Relations Coordinator, Senior Director of Meeting Operations, and the Marketing team to coordinate and execute sponsorship deliverables, ensuring they are accurate, timely, and in line with partner agreements.

• Serve as the primary point of contact for the onsite Exhibitor Breakfast Forum, managing communications and coordinating calendar invitations, in conjunction with the Senior Director of Meeting Operations for food and beverage needs.

• Manage logistics for sponsored hands-on sessions at organization meetings, including conducting faculty and industry calls, conveying program details, and overseeing onsite execution.

• Create and distribute communications to exhibitors, outlining pre-event logistics, deliverables, and updates.

• Compile and provide pre- and post-conference deliverables to exhibitors and sponsors, such as the exhibitor opt-in attendee list, hands-on session attendee list, and digital sales metrics.

• Develop and circulate a post-conference exhibitor survey for all meetings.

• Responsible for generating sales invoices for organization meetings and ensuring accuracy and timely payment.

• Monitor the Organization Meetings Fundraising Tracker for accuracy and produce a weekly fundraising report.

• Prepare and maintain slides related to Organization Meetings Industry Relations for staff meetings and other necessary meetings.

• Ensure all sales and payments are accurately recorded in the M Events platform and the Overall Tracker.

• Track revenue performance against the budget.

• Keep an eye on industry trends to identify new revenue opportunities and inform pricing and product strategies.

• Annually track competitor medical society sales opportunities and pricing within a centralized tracking system.


⛳️ Requirements

• A Bachelor’s degree in business or a related field, or equivalent experience is required; a Certified in Exhibition Management (CEM) designation is preferred.

• At least 5 years of successful tradeshow experience, ideally within an association or nonprofit setting.

• Strong organizational, analytical, and problem-solving abilities.

• Exceptional written and verbal communication skills, including the ability to prepare reports and effectively communicate with external stakeholders.

• Proficient in database systems and Microsoft Office applications.

• Capability to work efficiently in a team environment and collaborate with corporate partners, physicians, healthcare professionals, and vendor partners.

• High degree of professionalism, cultural awareness, adaptability, and a robust work ethic.

• Proven ability to manage multiple priorities and deadlines with keen attention to detail.

• Ability to work independently and adapt in a fast-paced environment.

• Willingness to travel as necessary, attending up to two organization meetings per year.
