This is a fully remote position, open to applicants in Canada.
• Evaluate project requirements, resource availability, and limitations to create effective resource allocation strategies with team leaders.
• Maintain a comprehensive skills matrix across various departments to ensure the appropriate assignment of resources to projects.
• Oversee and manage freelance personnel in creative, scientific, production, and technical positions.
• Serve as the main liaison with freelance agencies.
• Uphold the processes for freelance approval and onboarding.
• Track freelance budgets and report expenditures and allocations to senior management.
• Regulate workflow by supervising production progress and making necessary adjustments to resources.
• Facilitate regular resourcing meetings to assess workloads, identify excesses, and redistribute resources.
• Delegate tasks, provide progress updates, communicate challenges, and pinpoint overflow resources.
• Monitor team utilization and work alongside department heads to meet targets.
• Drive process enhancement initiatives with the PMO and Capability leaders.
• Assist the Client Engagement team with communication, planning, resource allocation, timelines, budgets, and change management in the Agency Management System.
• Manage contracts and relationships with third-party vendors.
• Create reports and develop or revise templates, SOPs, estimation tools, and other project resources.
• Execute additional tasks assigned by the Director of Operations.
• BA/BS degree is mandatory.
• 2–5 years of experience in a related industry.
• Excellent communication, organizational, and negotiation abilities.
• Capability to connect Project Management with production teams.
• Skill in assigning and resourcing team members as the primary contact for project leads.
• A growth mindset with the ability to manage and facilitate change.
• Competence in adjusting workload balance within an agency management system.
• Skills in process improvement and documentation.
• Understanding of project pipelines, sales data, workload balance, and hiring strategies.
• Knowledge of the skills necessary across diverse production tactics and therapeutic areas.
• A varied production background is advantageous.
• Ability to cultivate trusted relationships.
• Proficiency in translating ambiguous details into project scopes, estimated costs, and risk-minimizing assumptions.
• Strong prioritization and obstacle-removal capabilities.
• Exceptional communication skills.
• Ability to ensure that the right tasks are assigned to the right individuals.
