This is a fully remote position, open to applicants in District of Columbia.

📋 Description

• Deliver daily administrative assistance for Tomorrow’s Leaders Recruitment and manage the recruitment/application workflow.

• Oversee procurement activities and monitor expenses.

• Utilize databases to manage and categorize applicants and generate reports.

• Preserve project data and files through tracking tools and documentation standards, ensuring PII protection.

• Facilitate logistics for standardized testing, including per diem issuance, travel, hotel accommodations, transportation, and visa arrangements.

• Create project materials, pre-departure orientation training resources, and administrative documents.

• Aid in the logistics of virtual programs.

• Organize calendars, scheduling, expenses, meetings, notes, memos, project files, and filing systems.

• Coordinate project meetings, including room bookings, catering, and materials preparation.

• Assist with events, conferences, and workshops, managing invitations and procurement.

• Manage electronic files, document-sharing sites, storage solutions, and archiving processes.

• Support communications, stakeholder folders, materials inventory, and distribution lists.

• Assist staff and consultants with travel arrangements, expense approvals, ticketing, advances, and reporting of expenses.

• Gather information for reports, aid in drafting reports, and monitor reporting deadlines.

• Help with technical data gathering, review, and basic analysis.

• Assist in the development and dissemination of project tools, resources, reports, papers, and interventions.

• Conduct supervised searches for published literature, mobile software sites, and blogs.

• Provide technical administrative support for the preparation and finalization of work plans.

• Process invoices, payment packages, consultant agreements, reimbursements, and purchase orders.

• Review and interpret budgets and assist in tracking cost information.


⛳️ Requirements

• Associate's degree required; Bachelor's degree preferred.

• 0–2 years of relevant administrative experience supporting projects and/or a technical practice area.

• Prior experience in a non-governmental organization is preferred.

• Fluency in Arabic is preferred, with additional French proficiency considered a plus.

• Fluent English is required; fluency in the host-country language as applicable.

• Demonstrated organizational skills and the ability to manage multiple tasks with high accuracy.

• Ability to work independently and collaboratively as part of a team, take initiative, meet deadlines, and remain flexible.

• Strong computer skills, particularly with databases.

• Familiarity with WordPress, Qualtrics, and FormAssembly is advantageous.

• Proficient in Microsoft Excel and knowledgeable about databases.

• Demonstrated expertise with the Microsoft Office Suite.

• Excellent oral and written communication skills, maintaining professionalism in written correspondence.

• Strong interpersonal and cross-cultural skills with a keen interest in international education.

• Capability to problem-solve and suggest corrective actions.

• Ability to adhere to project deadlines with a strong attention to detail.

• Successful completion of appropriate screening checks, including reference, criminal record, and terrorism finance checks.

• Must sign FHI 360's code of conduct.

• Ability to spend extended hours in front of a computer screen and perform repetitive keyboard tasks.

• Ability to sit and stand for prolonged periods.

• Capability to lift/move up to 5 lbs.
