This is a fully remote position, open to applicants in Mexico.
• Open and manage transaction files.
• Analyze contracts, addenda, disclosures, and supporting documents for completeness.
• Monitor deadlines, contingencies, earnest money, inspections, financing, title, escrow, and closing dates.
• Keep track of files for any missing signatures, documents, approvals, and required information.
• Prepare and send documents for electronic signature.
• Maintain professional communication with agents, lenders, title or escrow companies, cooperating agents, and other parties involved in transactions.
• Update transaction systems, dashboards, notes, and client reports regularly.
• Provide clear status updates and escalate potential risks before deadlines are reached.
• Complete daily reports and assigned tasks within required deadlines.
• Adhere to brokerage requirements, partner preferences, company procedures, and security standards.
• Safeguard confidential client information and login credentials.
• Engage in training, coaching, quality reviews, and team meetings.
• Contribute to process improvements as the department expands.
• Minimum of five years of direct experience in residential real estate transaction coordination.
• Proficient in both written and spoken Spanish and English.
• Experience managing transactions from the executed contract through to closing.
• Familiarity with residential real estate processes in the United States.
• Background in reviewing contracts, disclosures, addenda, and transaction documents.
• Experience in tracking deadlines, contingencies, signatures, deposits, inspections, financing, title, escrow, and closing requirements.
• Ability to handle multiple active transactions simultaneously.
• Experience communicating directly with real estate agents and other transaction parties.
• Strong written and verbal communication skills in English.
• Strong written and verbal communication skills in Spanish.
• Excellent attention to detail, organization, judgment, and follow-through.
• Capability to identify problems and escalate them promptly.
• Ability to follow written procedures and client-specific instructions accurately.
• Capacity to work independently while remaining accountable to the team.
• Open to receiving feedback and making necessary corrections.
• Commitment to maintaining confidentiality and adhering to information-security requirements.
• Availability to work an assigned schedule in the Eastern Time Zone.
• Reliable high-speed internet access and a backup internet option.
• Dependable computer, webcam, microphone, headset, and professional workspace.
• Proficiency in using a company-approved password manager and multifactor authentication process.
• Quick learner of new systems.
• Candidates may need to complete an online assessment, written transaction scenarios, resume verification, a recorded video interview, a live video interview, reference checks, and equipment verification.
