This is a fully remote position, open to applicants in Philippines.
• Deliver precise and comprehensive clinical note-taking assistance for the Bellevue clinic.
• Aid in clinical documentation for around 25–30 patients each week.
• Guarantee that clinical notes are thorough, well-organized, and accurately recorded in patient files.
• Examine documentation for any missing or incomplete information.
• Uphold accuracy and confidentiality when managing sensitive clinical data.
• Adhere to HIPAA regulations.
• Primarily operate within AdvancedMD for Bellevue clinic procedures.
• Conduct insurance verification and eligibility assessments for the Lynnwood clinic.
• Confirm active insurance coverage and necessary eligibility details.
• Record insurance information in patient files.
• Identify absent or inconsistent insurance details and follow up as required.
• Mainly work within Tebra for Lynnwood clinic operations.
• Handle incoming and outgoing patient calls.
• Assist patients with inquiries, follow-ups, and administrative questions.
• Provide virtual receptionist assistance.
• Log patient calls and communications in Tebra.
• Collaborate with the current billing team.
• Ensure that clinical notes and documentation are finalized and accessible for billing purposes.
• Highlight missing documentation that impacts billing processes.
• Maintain accurate and well-organized patient records.
• Offer support with general administrative duties.
• Oversee workflows across AdvancedMD and Tebra.
• Provide support for both clinic locations based on operational requirements.
• Communicate outstanding tasks, documentation issues, or workflow challenges.
• Prior experience in U.S. healthcare, preferably in psychiatry, mental health, or behavioral health.
• Strong experience in clinical note-taking/documentation with exceptional attention to detail.
• Experience in insurance verification and eligibility assessments.
• Familiarity with medical billing processes and billing-related documentation.
• Proficiency in using EHR/EMR systems; experience with AdvancedMD and Tebra is highly preferred.
• Excellent English communication skills, demonstrating professional and compassionate phone etiquette with patients.
• Understanding of HIPAA compliance and patient confidentiality.
• Organized, dependable, proactive, and comfortable handling multiple clinical and administrative responsibilities.
• Ability to work the required Pacific Time schedule.
• Must communicate in English clearly and professionally in both spoken and written forms.
• Relevant work experience is a must.
• Must be able to provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Must be available for video meetings with the camera on when necessary.
• A reliable laptop or desktop computer is required.
• Stable high-speed internet connection of at least 25 Mbps is necessary.
• A noise-canceling headset is required.
• A working webcam for virtual meetings is necessary.
