Project Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Define the project's scope, objectives, deliverables, timelines, and resource needs in collaboration with stakeholders.

• Develop and maintain comprehensive project plans, schedules, and status trackers.

• Oversee multiple simultaneous project workstreams.

• Identify, document, and proactively address project risks, issues, and dependencies.

• Organize meetings, milestone reviews, and post-implementation retrospectives.

• Maintain Statements of Work (SOWs), change orders, cutover plans, and closeout reports.

• Monitor team capacity and project resources, escalating any resource challenges as necessary.

• Coordinate project tasks and timelines across internal teams and workstreams.

• Act as the primary coordination point for internal project resources.

• Track and follow up on tasks related to porting, provisioning, training, and onsite installations.

• Keep internal and external project plans updated, including due dates, assignments, and any potential delays.

• Serve as the main project contact for partners, customers, vendors, and stakeholders.

• Provide project status updates and facilitate kickoff, status, and post-project review meetings.

• Manage stakeholder expectations throughout the implementation or migration process.

• Collaborate with technology vendors, platform providers, and subcontractors.

• Monitor hardware orders and shipments, highlighting any delays or lost packages.

• Facilitate contingency planning among connected parties.

• Support automation of shipment tracking and inbox routing rules.

• Create standardized project templates, playbooks, and delivery frameworks.

• Document lessons learned and identify opportunities for process improvements.

⛳️ Requirements

• Associate's degree or equivalent experience is required.

• PMP, CAPM, or similar project management certification is preferred.

• A minimum of 3 years of experience in project coordination.

• Strong preference for technical implementation experience with VoIP, UCaaS, SIP trunking, or broadband services.

• Experience coordinating cross-functional teams, including engineering, operations, and customer-facing roles.

• Familiarity with project tracking tools such as HaloPSA, Jira, Monday, or similar platforms.

• Knowledge of Metaswitch, NetSapiens, or similar hosted PBX environments is preferred but not mandatory.

• Experience managing relationships with vendors and technology partners in a project delivery context.

• Exceptional organizational skills for handling concurrent, detail-intensive workstreams.

• Ability to communicate clearly and concisely in writing for documentation, meeting notes, and status updates.

• In-depth understanding of telecom and UCaaS technologies, terminology, and implementation workflows.

• Strong written, verbal, and customer-facing communication skills.

• Proactive approach to problem-solving and early identification of risks.

• Capability to coordinate with external parties and vendors who have competing priorities.

• Proficiency in Excel, Confluence, and Monday.com, or a quick aptitude for learning new tools.

• Self-motivated and dependable for independent contractor roles with minimal supervision.

• Flexibility to adapt to frequent changes in schedules or priorities.
