This is a fully remote position, open to applicants in United States.

📋 Description

• Assist project managers in monitoring project advancement, milestones, and deliverables utilizing PMO tools and systems.

• Revise task lists, timelines, and dashboards to accurately represent the current project status.

• Oversee critical deadlines and ensure that documentation and updates are completed precisely and punctually.

• Aid in sprint activities, including scheduling, tracking sprint items, and documenting notes or action items.

• Create project documentation, agendas, and presentation materials for both internal and client meetings.

• Take comprehensive meeting notes, track follow-up actions, and update PMO tools and systems accordingly.

• Compose updates, summaries, and reports for leadership and clients.

• Standardize PMO templates, reports, and workflows for consistency.

• Maintain project records and archives with version control and appropriate documentation.

• Assist the Sr. Director of PMO and project managers in assembling project decks and management reports.

• Coordinate scheduling and logistics for project-related calls, sprint reviews, retrospectives, and stakeholder updates.

• Offer suggestions to enhance PMO tools, templates, and processes.

• Stay updated on project management trends, tools, and best practices.

• Provide administrative and operational support for various PMO initiatives as assigned.

• Execute other duties as assigned.


⛳️ Requirements

• Outstanding organizational abilities and a keen attention to detail.

• Exceptional written and verbal communication skills.

• Capability to handle multiple tasks and priorities across various concurrent projects.

• Comfort in collaborating with both technical and non-technical team members.

• Proficiency in project management and collaboration tools, including HaloPSA, Microsoft Teams, and SharePoint.

• Proactive, service-oriented mindset emphasizing teamwork and follow-through.

• Bachelor's degree in business, Management, Project Management, or equivalent work experience and certifications.

• 1–3+ years of experience in project coordination, operational support, or customer service.

• Experience in project management or Agile environments is preferred.

• Occasional travel may be necessary for on-site meetings.
