This is a fully remote position, open to applicants in United States.
• Assist project managers by monitoring project progress, milestones, and deliverables through PMO tools and systems.
• Revise task lists, timelines, and dashboards to accurately represent the current status of projects.
• Oversee critical deadlines and ensure that documentation and updates are completed correctly and punctually.
• Facilitate the coordination of sprint activities, which includes scheduling, tracking sprint items, and documenting notes or action items.
• Create project documentation, agendas, and presentation materials for meetings with internal teams and clients.
• Take comprehensive notes during meetings, track follow-up actions, and ensure timely updates in PMO tools and systems.
• Prepare updates, summaries, and reports for leadership and clients.
• Assist in the standardization of templates, reports, and workflows across the PMO.
• Maintain project records and archives, ensuring proper version control and documentation practices.
• Support the Senior Director of PMO and project managers with the compilation of project decks and management reports.
• Organize scheduling and logistics for project-related calls, sprint reviews, retrospectives, and stakeholder updates.
• Contribute ideas for enhancing PMO tools, templates, and processes.
• Stay updated on project management trends, tools, and best practices.
• Provide administrative and operational support for additional PMO initiatives as required.
• Perform other designated duties as necessary.
• Outstanding organizational skills with a keen attention to detail.
• Exceptional written and verbal communication abilities.
• Capability to handle multiple tasks and priorities across various concurrent projects.
• Comfortable collaborating with both technical and non-technical team members.
• Proficient in project management and collaboration tools, including HaloPSA, Microsoft Teams, and SharePoint.
• Proactive and service-oriented mindset with an emphasis on teamwork and follow-through.
• Bachelor’s degree in business, management, project management, or equivalent work experience and certifications.
• 1–3+ years of experience in project coordination, operational support, or customer service.
• Familiarity with project management or Agile environments is preferred.
• This is a full-time, exempt position.
