This is a fully remote position, open to applicants in United States.
• Take ownership of the end-to-end POI intake process.
• Oversee the Jira-based intake system, ensuring timely triage of incoming requests, accurate routing, and tracking throughout their complete lifecycle from submission to delivery.
• Act as the main intake partner for requestors within the People team.
• Organize regular intake and portfolio meetings.
• Recognize systemic trends and provide insights to leadership.
• Utilize strategic judgment to prioritize the POI portfolio effectively.
• Establish and uphold portfolio visibility and capacity reporting.
• Design, develop, and consistently enhance an AI agent for intake purposes.
• Continuously work on improving the intake experience.
• Collaborate with POI leaders and People team leaders regarding resource allocation and prioritization discussions.
• A minimum of 7 years of experience in project management, business operations, strategy, or consulting, with a proven ability to navigate complex, matrixed organizations and manage competing priorities.
• Demonstrated expertise in designing, building, or significantly enhancing an intake, triage, or portfolio management process for a delivery team or operations function.
• Strong analytical and systems-thinking capabilities, with the ability to assess competing requests using strategic frameworks, make well-informed prioritization recommendations, and communicate trade-offs effectively to senior stakeholders.
• Proficient in Jira or similar ticketing/project management tools, with comfort in workflow configuration, ticket lifecycle management, capacity planning, and reporting.
• Proven experience utilizing AI tools (such as LLMs, AI agents, or automation platforms) to optimize workflows, create streamlined productivity solutions, or automate repetitive operational tasks.
• Exceptional written and verbal communication skills, capable of converting vague, incomplete requests into clear, actionable project briefs and presenting complex portfolio data in an accessible manner to both technical and non-technical stakeholders.
• Demonstrated ability to cultivate relationships with senior stakeholders (directors, VPs), including managing expectations, addressing pushback, and facilitating alignment discussions with confidence.
• Comfortable working in ambiguous situations where tasks may not be clearly defined, with the ability to independently determine the appropriate approach and establish meaningful success metrics.
• A collaborative, low-ego working style, able to function as a strategic partner and trusted advisor rather than a decision-maker, earning credibility through diligence and sound judgment.
• At least 2 years of experience working within or closely with an HR, People, or similar internal operations team.
