This is a fully remote position, open to applicants in Washington.
• Act as a central operational point for a diverse portfolio of clients
• Participate in regular client meetings, onboarding sessions, and annual strategic discussions
• Confirm scope, ownership, timelines, and capacity prior to making commitments
• Monitor program health, recognize obstacles, and escalate risks promptly
• Oversee scope modifications and ensure alignment among affected teams before implementation
• Keep program documentation, agreements, reports, and operational records well-organized
• Manage billing timelines and align invoicing with completed work
• Track forecast-to-actual discrepancies and facilitate resolution of any variances
• Reconcile mail quantities, postal logistics, and production costs for precise client billing
• Handle out-of-pocket expenses and maintain visibility of operational costs
• Take ownership of structured program status reporting for clients and internal stakeholders
• Maintain tracking of risks, documentation of decisions, and overall portfolio visibility
• Offer operational leadership insights into commitments, obstacles, risks, and trade-offs
• Keep both clients and internal teams updated through regular communication and updates
• Minimum of 4 years’ experience in program management, operations, workflow management, campaign operations, agency operations, PMO, or similar cross-functional roles
• Capability to manage multiple simultaneous workstreams, deadlines, and stakeholder expectations
• Outstanding organizational discipline, documentation practices, and attention to detail
• Proficient written and verbal communication skills among cross-functional stakeholders
• Experience utilizing project management, workflow, or collaboration tools
• Ability to work autonomously in a dynamic, deadline-oriented environment
• Preferred: experience within agency, marketing, fundraising, or nonprofit sectors
• Preferred: knowledge of billing reconciliation, financial tracking, or operational reporting
• Preferred: familiarity with tools such as Google Sheets, Basecamp, Fibery, Slack, or similar platforms
• Comfortable addressing challenges in a calm, objective, and constructive manner
• Highly organized, detail-focused, and proactive
