πŸ“‹ Description

β€’ Take ownership of the project plan. Keep project plans, schedules, and status documentation updated; monitor for overdue dates and request necessary updates; track every modification made to the plan.

β€’ Maintain the PS Projects Dashboard. Our internal tracking system focuses on weekly high-level status tags, summaries, blockers/issues that need escalation, and module go-live dates, all utilized in reporting to the Customer team and our ELT. Collaborate with the Head of PS and the CSMs to provide weekly updates and risk highlights to the teams.

β€’ Ensure team accountability. Monitor deliverables and follow up proactively to prevent slippage β€” ensuring both customers and internal stakeholders are held accountable for their commitments.

β€’ Conduct efficient project calls. Establish structure for recurring project meetings β€” set the agenda, keep discussions focused, and prevent Solution Architects (or others) from deviating from the main topics. Organize meeting logistics, action items, and follow-ups.

β€’ Escalate issues promptly. Identify risks, blockers, and changes in accounts to inform the CSM before they impact the customer relationship. Monitor blocker-level bugs and feature requests linked to product needs.

β€’ Maintain a clear RACI. Define and uphold the project RACI (Responsible, Accountable, Consulted, Informed) for each engagement, ensuring clarity on ownership roles.

β€’ Report status both internally and externally. Manage weekly project plan updates, provide a weekly status report to the CSM and leadership, and generate both internal status reports and client-facing progress summaries for every project.

β€’ Leverage AI for efficiency. Utilize AI/Claude capabilities to assist in managing recurring reporting and status tasks, ensuring updates remain consistent and timely without overloading the team's resources.

β€’ Monitor the technical footprint. Assess the applications a customer has committed to integrating versus what they have actually integrated.

β€’ Cultivate relationships that facilitate successful delivery. Establish collaborative relationships with internal teams supporting each engagement, adhering to established project management practices and procedures.


⛳️ Requirements

β€’ 3-5 years of relevant experience. Experience as a project manager or project coordinator is advantageous.

β€’ Excellent organizational skills and meticulous attention to detail. You ensure that nothing falls through the cracks.

β€’ Proficiency across multiple tools. Experience with project tracking, scheduling, and documentation β€” and familiarity with using AI tools to enhance productivity and streamline reporting processes rather than handling them manually.

β€’ Natural accountability driver. You follow up proactively to prevent issues and are comfortable holding both customers and internal teams to their commitments.

β€’ Clear and proactive communicator. You can effectively manage a focused call and convey project status in a manner that enables immediate action from a CSM, internal team, or client executive.
