This is a fully remote position, open to applicants in Michigan.
• Oversee, organize, research, market, acquire, communicate, and offer administrative assistance to designated committees, groups, departments, or programs.
• Aid in the daily operations of an assigned section or special interest group.
• Provide support to programs, sections, and/or special interest groups.
• Monitor and acquire office supplies while adhering to budget constraints.
• Facilitate video conferences between staff and both internal and external clients.
• Draft, type, and distribute meeting notes, routine correspondence, and reports.
• Act as a liaison with external printing vendors as needed.
• Serve as the main point of contact for program-related inquiries and activities.
• Oversee the general program mailbox and direct phone calls and emails to the appropriate staff.
• Communicate with SAE ITC programs, departments, and outside contacts.
• Manage P-card accounts and/or process invoices for office supplies and other acquisitions.
• Verify invoices for accuracy and initiate purchase requisitions.
• Input data into customer and financial management databases.
• Prepare standard letters, memos, emails, labels, and routine correspondence.
• Type, copy, and distribute reports, proposals, and presentations through mail, websites, social media, and other platforms.
• Proofread for spelling and grammatical accuracy.
• Enter data into spreadsheets and databases and generate standard reports.
• Utilize domain knowledge of software and IT systems for program administration and support.
• Associate’s degree in business or a related field.
• 2+ years of experience in office administration, secretarial roles, or equivalent positions.
• Exceptional communication, interpersonal, and organizational abilities.
• Capability to operate with minimal supervision.
• Skill in continually prioritizing workload when faced with diverse and demanding customer needs/requests.
• Ability to handle confidential and legal information appropriately.
• Proficiency in coordinating multiple projects concurrently during peak workload times.
• Experience in entering and maintaining data in databases, software, and IT systems for program administration and support.
• Background in accounting, bookkeeping, business standards/best practices, and document editing is preferred.
• Preferred ability to apply domain knowledge of software and IT systems for program administration and support.
• A reliable and secure internet connection along with a proper ergonomic remote work setup.
• Capability to maintain a confidential and secure workspace while adhering to company data security policies.
• Remote work environment with a reliable and secure internet connection and proper ergonomic setup.
• Standard business hours with flexibility for international meetings.
• Occasional travel (up to 20%) for technical conferences or committee sessions.
