This is a fully remote position, open to applicants in Philippines.
• Evaluate approved procurement requests to verify specifications, quantities, delivery requirements, quality standards, and necessary approvals.
• Clarify any requests that are incomplete, inconsistent, or technically ambiguous.
• Identify and onboard appropriate suppliers throughout the United Kingdom and Europe.
• Issue Requests for Quotations (RFQs), establish deadlines, follow up on quotations, and maintain the status of sourcing activities.
• Acquire competitive quotations or document justifications and approvals for non-competitive purchases.
• Assess quotations in terms of price, currency, VAT, freight, lead time, payment terms, warranty, and additional conditions.
• Create like-for-like comparisons based on total landed cost, delivery performance, quality, warranty, service, and supply risk.
• Negotiate commercial terms within the scope of delegated authority.
• Present sourcing recommendations that highlight the best value, assumptions, risks, and necessary approvals.
• Prepare, validate, and amend purchase orders as needed.
• Secure supplier acknowledgment and confirm pricing, availability, delivery dates, and any deviations.
• Monitor and expedite open orders until delivery and finalization.
• Foster supplier relationships while safeguarding commercial interests and confidentiality.
• Keep updated records of supplier capability, contact details, pricing, lead times, and performance metrics.
• Coordinate between suppliers, freight providers, and internal stakeholders to ensure successful final delivery.
• Address or manage shortages, damages, incorrect items, invoice discrepancies, non-conforming goods, warranty claims, and returns.
• Document packaging details, weights, dimensions, origin, collection information, tracking, freight documentation, and proof of delivery.
• Adhere to procurement policies, standard operating procedures (SOPs), delegated authority limits, approval workflows, and segregation-of-duties controls.
• Maintain a comprehensive audit trail for procurement activities.
• Escalate issues related to cost increases, payment risks, quality or authenticity concerns, non-standard terms, compliance questions, and delivery commitments.
• Provide updates on RFQs, open orders, committed timelines, delays, supplier issues, savings, and decisions required.
• Utilize Microsoft Dynamics, Microsoft Business Central, Xero, Excel, Outlook, and other authorized systems.
• Identify recurring errors, delays, or control gaps and propose enhancements to templates, trackers, SOPs, and supplier engagement strategies.
• A certificate, diploma, or degree in procurement, supply chain, logistics, commerce, business administration, engineering, or a related discipline is preferred.
• A minimum of three years of hands-on experience in procurement, buying, purchasing, or supply chain activities, including RFQs, quotation comparisons, purchase orders, order tracking, and supplier follow-up.
• Proven experience in supplier negotiation and commercial analysis, covering aspects like total landed cost, multi-currency comparisons, lead time, freight, payment terms, and associated risks.
• Experience in supporting international businesses, working with overseas suppliers, or in an offshore delivery environment, with the ability to work independently across different time zones.
• Familiarity with Incoterms, international freight, import and export documentation, customs coordination, and supplier payment terms.
• Experience with an ERP, procurement, or order-management system.
• Advanced proficiency in Microsoft Excel and strong skills across the Microsoft 365 suite.
• Exceptional written and verbal communication skills in English, suitable for professional interactions with stakeholders in the UK, Europe, and Australia, is essential.
• Preference for candidates with experience in Microsoft Dynamics, Microsoft Business Central, Xero, or similar systems.
• Direct sourcing experience with suppliers in the United Kingdom or Europe is advantageous.
• Experience with mechanical, engineering, industrial, mining, or maintenance repair and operations products is a plus.
• Experience in coordinating international freight, warranty claims, returns, customs documentation, or supplier quality concerns is beneficial.
• Familiarity with supporting Australian or UK organizations through a BPO, shared service, or offshore delivery model is desirable.
• Background in contributing to procurement KPIs, supplier scorecards, process improvement, or ERP transitions is a plus.
• Highly organized, detail-oriented, and accountable.
