This is a fully remote position, open to applicants in Philippines.
• Oversee the professional operations of the clinic alongside key administrative responsibilities.
• Manage phone calls with a professional and empathetic demeanor.
• Collect co-payments and deductibles at the point of service.
• Collaborate with the billing team to address underpaid claims and communicate with clients about denials.
• Serve as the primary contact for billing inquiries, resolving issues with emotional intelligence and clarity.
• Use QuickBooks and Google Spreadsheets to monitor daily office expenses, tax documents, and bank statements.
• Develop systems to automate recurring bill payments and enhance office workflows.
• Keep a meticulously organized digital and physical filing system that is color-coded.
• Check and respond to emails at least three times daily, delivering a reassuring level of service.
• Ensure tasks are completed to 100% without the need for reminders.
• A minimum of 3–5 years of experience in Medical Mental Health Office Management or a High-Level Executive Assistant role.
• Prior experience in the Mental Health sector is highly desirable.
• Advanced proficiency in QuickBooks, Google Workspace (Sheets/Docs), and Mental Health EHR software.
• Familiarity with CPT codes in Mental Health and Cardiology is a significant advantage.
• Must be highly reachable and prompt in responding to calls and messages.
