This is a fully remote position, open to applicants in Oregon.
• Serve as the operational administrator for Vituity leadership at the site, engaging with both the hospital and the community.
• Act as the primary liaison among providers, hospital leadership, nursing staff, and Vituity support teams.
• Provide executive assistance to the site medical director and the management team.
• Oversee site financials, including contract stipends, expense reimbursements, and payroll timecard processing.
• Function as a super user for Vituity applications and serve as the main contact for hospital software and hardware systems.
• Assist providers in legal matters, including subpoenas, depositions, trial testimonies, fee schedules, and malpractice coordination.
• Organize meetings, manage office systems, supplies, site events, and customer service initiatives.
• Facilitate daily patient census and multidisciplinary rounds where appropriate.
• Maintain clinical schedules to guarantee sufficient coverage and uninterrupted patient care.
• Collect, monitor, and analyze financial and operational data.
• Lead project management for operational programs, including operations meetings, patient experience, quality improvement, advanced provider/scribe programs, and student/resident rotations.
• Coordinate the recruitment and onboarding processes for providers, employees, locums, reservists, residents, and students.
• Ensure timely provider recredentialing and compliance with necessary licenses, certificates, and credentials.
• Make certain that site partners and employees complete required training and adhere to Vituity and hospital compliance programs.
• Manage People Operations/Human Resources relations and keep accurate site rosters.
• Develop and sustain site orientation checklists and manuals.
• Collaborate on the formulation of site practice policies and procedures.
• Handle medical records, data submissions, charge capture, notifications, and follow-ups.
• Ensure compliance with billing and documentation standards and coordinate monthly Revenue Cycle Management meetings.
• Complete required forms and requests, including death certificates, workers’ compensation claims, motor vehicle reporting, and pharmacy requests.
• Two to three years of experience in an office or healthcare environment is required.
• An Associate or Bachelor’s degree in Business Administration, Human Resources, or a related field is strongly preferred.
• Experience in the healthcare sector is preferred.
• Familiarity with healthcare and medical terminology is preferred.
• Understanding of general Human Resource principles is preferred.
• Awareness of Federal, State, and County Agencies that regulate the Healthcare Industry is preferred.
• Intermediate to advanced skills in MS Excel, Word, PowerPoint, and Outlook.
• Strong consultation, organizational, interpersonal, and work ethic skills are essential.
• Ability to prioritize tasks and thrive in a high-pressure environment.
• Self-directed, motivated, and adept at meeting deadlines.
• Proficient in expressing ideas and conveying information effectively in both verbal and written forms.
• Ability to comprehend client/customer relationships and enhance Vituity’s positive image.
• Capacity to understand and apply information management principles, data analysis interpretation, and continuous quality improvement tools/methodologies.
• Ability to remain flexible, cooperative, and engage in cross-organizational performance improvement initiatives.
• Proficient in operating office equipment and automated systems/applications/software.
• Skilled in establishing and maintaining effective working relationships.
• Competency in reading, understanding, and communicating in English to fulfill job duties.
• Ability to evaluate and present information in clear reports to Human Resources, Finance, and Executive teams.
