This is a fully remote position, open to applicants in United States.
• Assist Project Managers with daily project planning, coordination, and administrative tasks.
• Update and maintain project plans, schedules, milestones, deliverables, action trackers, and documentation.
• Monitor project progress relative to timelines, highlighting any delays or dependencies.
• Organize project meetings, create agendas, document minutes, and follow up on action items.
• Aid in the initiation, planning, execution, monitoring, and closure of projects.
• Establish and uphold PMO governance processes, standards, and templates.
• Gather project status updates and compile weekly/monthly reports, dashboards, and executive summaries.
• Track project KPIs, milestones, risks, issues, dependencies, and decision-making processes.
• Maintain portfolio-level trackers and assist with portfolio reporting.
• Keep RAID logs and change request logs; facilitate change control processes.
• Raise awareness of overdue actions and significant project issues.
• Monitor project budgets, forecasts, expenditures, variances, purchase orders, invoices, and resource allocation.
• Facilitate communication between project, business, technical, vendor, and other stakeholders.
• Prepare materials for governance meetings, steering committees, and leadership reviews.
• Assist in onboarding project team members and disseminating project information.
• Bachelor's degree in Business Administration, Project Management, Information Technology, Finance, or a related field.
• Approximately 2–5 years of experience in project coordination, PMO analysis, project administration, or support in project management.
• Familiarity with project schedules, status reporting, RAID logs, financial tracking, and governance documentation.
• Exceptional organizational and time-management capabilities.
• Keen attention to detail and the ability to maintain precise project records.
• Strong written and verbal communication skills.
• Capability to manage multiple priorities and deadlines concurrently.
• Good analytical and problem-solving skills.
• Understanding of project management principles, governance, and the project lifecycle.
• Ability to recognize and escalate risks, issues, and scheduling concerns.
• Strong skills in stakeholder management and coordination.
• Ability to work independently while supporting multiple Project Managers.
• Proficiency in Microsoft Excel, including formulas, PivotTables, lookups, and reporting.
• Proficiency in Microsoft PowerPoint and Word.
• Experience with Microsoft Project, Smartsheet, or similar scheduling/project management tools.
• Familiarity with Jira, Confluence, Azure DevOps, Monday.com, Asana, or similar platforms.
• Experience with SharePoint and Microsoft Teams.
• U.S. Citizen or Green Card Holder; H1B visa sponsorship is not available.
• CAPM, PMP, PRINCE2, Agile/Scrum, or similar certification is preferred but not mandatory.
