This is a fully remote position, open to applicants in United States.
• Facilitate the entire employee lifecycle by providing essential administrative support to ensure a seamless and compliant hiring and onboarding experience.
• Aid in job postings, pre-employment tasks, maintaining precise records, and supporting HR systems and reporting in line with federal, state, and company policies.
• Address inquiries from candidates and hiring managers while offering general administrative assistance to the People & Culture and Recruitment teams as necessary.
• Oversee job postings, requisition tracking, and recruitment system administration, guaranteeing accurate documentation and timely advancement of candidates throughout the hiring process.
• Coordinate comprehensive pre-employment and onboarding procedures, including background checks, drug screenings, offer letters, and new hire paperwork.
• Ensure compliance with federal/state regulations and company policies by maintaining candidate, contractor, and employee records, including I-9 verification and employment authorization documentation.
• Utilize HRIS (Workday) and recruitment systems to generate reports, manage tracking tools, and ensure data accuracy and confidentiality across all records and documentation.
• Handle shared mailboxes and ServiceNow inquiries, prepare employment verifications and unemployment documentation, distribute surveys, and contribute to process enhancements.
• Act as a point of contact for candidates and hiring managers.
• Assist in ongoing People & Culture and Recruitment initiatives.
• Fulfill all other ad hoc requests from management as needed.
• Bachelor’s degree or relevant work experience preferred.
• Over 2 years of diverse administrative experience.
• Proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint, is essential.
• Experience with HRIS and Applicant Tracking Systems is a plus.
• Strong organizational, communication, and time management skills are required.
• High attention to detail and the capability to handle confidential information is necessary.
