This is a fully remote position, open to applicants in Portugal.
• Manage the complete native Portuguese payroll cycle in-house with precision, compliance, and punctuality.
• Process and verify payroll master data, which includes new hires, terminations, salary adjustments, variable compensation, benefits, absences, and garnishments.
• Conduct pre- and post-payroll validations, addressing issues before they affect team members, customers, or the Finance department.
• Complete monthly IRS withholding declarations, DMR filings to Segurança Social, and annual Modelo 10 submissions.
• Submit claims for reimbursement related to sickness and parental leave.
• Retrieve and manage employee IRS withholding codes.
• Assist in setting up and maintaining required government access.
• Adhere to payroll-system procedures and test updates related to legislation.
• Report payroll-system challenges or suggestions for improvement to the team lead or Product team.
• Utilize knowledge of Portuguese tax, social security, labor laws, and collective bargaining agreements.
• Review payroll journals and GL mappings against outputs to identify any data-integrity concerns.
• Address assigned client payroll tickets and escalate issues that exceed your scope.
• Generate statutory and ad-hoc reports, including those for the EU Pay Transparency Directive, Comissão de Trabalhadores pay evaluations, and RGPD/GDPR compliance documentation.
• Provide necessary data and documentation for both internal and external audits.
• Follow standard operating procedures (SOPs), identify process gaps, share insights, and maintain playbooks and SOPs.
• 1–3 years of experience managing native (in-house) payroll processes for Portugal.
• Capable of independently handling a defined volume of payslips each month.
• Proficient in using Portuguese payroll software such as Cegid (Primavera or PHC) and/or Sendys.
• Completed a recognized accounting or payroll qualification (e.g., Contabilista Certificado) and/or a specialized payroll processing certification.
• Working knowledge of Portuguese wage tax, social insurance, and labor laws.
• Proficient in Portuguese at the C1/C2 level for communication with local authorities.
• Fluent in English for collaboration with the asynchronous global team.
• Able to manage assigned client inquiries and escalate issues when necessary.
• Detail-oriented with a careful self-checking approach.
• Comfortable navigating ambiguity and knowing when to seek assistance.
• Enjoys sharing expertise and supporting less experienced team members.
• Capable of working primarily asynchronously in a fast-paced, remote-first setting.
• A background or qualification in broader accounting is a plus.
• Experience in delivering cross-functional HR/Payroll projects is advantageous.
• Hands-on experience with AI tools for payroll or operations workflows is a plus.
• Strong skills in data transformation and practical experience with data analytics platforms are desirable.
• Must reside in Portugal and possess the right to work there.
• Work from any location, provided you are authorized to work where you reside.
