This is a fully remote position, open to applicants in United States.
• Provide operational support throughout all phases of the weekly payroll cycle, aiming for a zero-defect standard.
• Act as a primary contact and support for the Payroll Manager.
• Address and resolve employee payroll inquiries promptly and with effective follow-up.
• Enter, review, and audit timekeeping and payroll-related documentation.
• Educate employees, Supervisors, and Managers on the use of the timekeeping system, auditing processes, and approval procedures.
• Conduct audits for new hires, job changes, salary adjustments, terminations, and other payroll-related documents.
• Relay audit results and ensure timely updates for missing time punches, time-off requests, and timeclock schedules.
• Process on-cycle, off-cycle, and bonus payrolls, including time file batches, retro activities, termination payments, adjustments, supplemental payments, and third-party interface files.
• Maintain documentation for payroll audits, workflows, and work procedures.
• Assist with year-end processing tasks, including auditing, reconciliation, and W-2 production.
• Handle garnishments and lien documents in accordance with Federal and State laws, ensuring ADP deductions and payments are accurate.
• Support daily payroll administration tasks.
• Collaborate with Payroll Specialists to verify work, distribute workload, and uphold the zero-defect payroll objective.
• Maintain electronic payroll records for retention, audits, and SOX compliance.
• Oversee internal communications related to Kronos, ADP, and SuccessFactors payroll information, training, forms, and notifications.
• Perform additional duties as required.
• High School Diploma is required, with a minimum of 5 years in a payroll administration role, or an Associate’s Degree in Accounting or a related field with at least 2 years of experience.
• Proficient understanding of payroll processes, including data entry, pay calculations, garnishments, tax setup, benefits, multi-state taxation regulations, and wage & hour laws.
• A minimum of 2 years of experience with ADP and Kronos.
• Intermediate skills in Excel.
• Familiarity with AI tools that assist in payroll or administrative tasks is a plus.
• Excellent written and verbal communication capabilities.
• Ability to comprehend and monitor missing and/or mandatory payroll components.
• Commitment to maintaining strict confidentiality of all reviewed and processed information.
• Capacity to interact daily with employees, managers, and leadership through email, phone, or Teams.
• Proficiency in understanding, calculating, and clarifying complex calculations and figures.
• Willingness to work Monday through Friday, with payroll submission days having no defined end time until payroll is finalized.
