This is a fully remote position, open to applicants in Philippines.
• Phone Management & Patient Support: Manage incoming calls across both clinic locations, acting as the primary contact for patient inquiries, delivering professional, friendly, and personalized assistance to patients, and addressing questions regarding services, appointments, and clinic information.
• Patient Confirmations & Intake Management: Execute appointment confirmation and reminder calls, oversee patient intake forms, consent forms, and related documentation, ensuring patient records are accurate and up to date.
• Patient Follow-Ups & Reactivations: Reach out to patients post-visit, engage with inactive patients to encourage their return for services, promote packages, memberships, and additional services, and conduct outreach campaigns during slower periods to generate appointments.
• Additional Responsibilities: Schedule, reschedule, and cancel appointments; engage in business partnership outreach by coordinating with local businesses for pop-up events and collaborations; manage administrative tasks such as emails and calendar; perform executive assistant duties including personal tasks like booking reservations and managing schedules; and identify opportunities to enhance clinic operations and patient experience.
• Experience in a med spa, wellness clinic, healthcare practice, or a similar healthcare setting.
• Proven experience handling both inbound and outbound calls, scheduling appointments, and providing patient support in a healthcare context.
• Background in sales, upselling, or recommending services and packages.
• Familiarity with Zenoti is preferred; candidates without Zenoti experience should possess strong EMR/EHR experience and the ability to quickly learn new systems.
• Excellent verbal and written English communication skills.
• Professional, personable, and patient-centered approach.
• Sales-driven with the capacity to promote memberships, packages, and add-on services.
• Knowledge of AI tools and technology.
• Must be fully dedicated and committed during scheduled working hours.
• Ability to work independently and maintain consistent availability.
• Proficiency in speaking and writing English clearly.
• Relevant work experience is required.
• Ability to provide an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory].
• Availability for video meetings with your camera on (when required).
• Device: Reliable laptop or desktop computer.
