📋 Description

• Oversee a substantial volume of incoming calls and perform proactive outreach to new and potential patient leads.

• Assist prospective patients with initial inquiries, clarify treatment options, respond to questions, and establish rapport to encourage consultation bookings.

• Maintain a proactive follow-up routine via phone, text, and email to achieve or surpass the practice's 60%+ consultation conversion goal.

• Efficiently arrange and confirm appointments, providing visit preparation information and reminders through email and text.

• Monitor lead progress, document patient notes, and manage communication pipelines utilizing GoHighLevel CRM and Weave VOIP.

• Provide a compassionate, professional, and inviting experience specifically designed for women's health and wellness patients.

• Act as the primary advocate for new and prospective patients.

• Establish trust and respond to sensitive clinical inquiries.

• Actively convert patient inquiries into scheduled consultations, aiming for a targeted 60%+ conversion rate.

⛳️ Requirements

• At least 1 year of experience in a medical office or as a virtual assistant within Functional Medicine, Gynecology, Dermatology, or Med Spa settings.

• Demonstrated background in sales, intake conversion, or patient care coordination.

• Proficiency in successfully closing consultation bookings.

• Outstanding verbal and written communication skills in English.

• Highly personable, articulate, confident, and energetic when communicating over the phone.

• Motivated self-starter with strong skills in lead management, follow-up, and objection handling without coming across as aggressive.

• Prior hands-on experience or familiarity with GoHighLevel CRM and Weave VOIP platforms is strongly preferred.

• Full-time contractor role, requiring 40 hours per week.

• Availability from Monday to Friday, 9AM - 5PM CST.
