This is a fully remote position, open to applicants in Philippines.
• Deliver virtual reception and administrative assistance for a U.S.-based physical therapy practice.
• Respond to incoming patient calls and general inquiries in real time.
• Utilize RingCentral to route calls and promptly return missed calls.
• Maintain professional communication with patients via phone and text.
• Accurately document notes, summarize patient sessions, and keep clinical records updated in WebPT.
• Ensure patient records are complete, organized, accurate, and confidential.
• Manage and schedule appointments effectively.
• Send out appointment reminders and confirmations through RingCentral and AppToto.
• Follow up on upcoming or missed appointments.
• Assist with the verification of insurance eligibility and authorization processes.
• Complete administrative paperwork and provide both virtual front-office and back-office support.
• Adhere to established scripts, workflows, procedures, and scheduling protocols.
• Assist clinicians with documentation-related administrative duties and additional patient coordination tasks as required.
• A background in the healthcare industry is necessary.
• Experience in a physical therapy, rehabilitation, medical, or comparable patient-care setting is highly preferred.
• Prior roles as a Patient Care Coordinator, Physical Therapy Coordinator, Medical Receptionist, Medical Virtual Assistant, or similar positions are advantageous.
• Familiarity with medical terminology, patient information, and healthcare documentation is essential.
• Excellent verbal and written communication skills in English are a must.
• Strong professional phone etiquette and customer service abilities.
• Experience managing inbound patient calls and inquiries.
• Ability to handle frequent patient calls while managing scheduling, documentation, and administrative responsibilities.
• Display patience, compassion, and professionalism when interacting with patients.
• Comfortable assisting older patients.
• Prior experience with clinical documentation, charting, medical note-taking, or managing patient records is highly preferred.
• Capability to accurately summarize patient information and sessions.
• Exceptional attention to detail in documenting clinical information.
• Strong written communication and documentation skills.
• Ability to maintain organized and accurate patient records.
• Experience with patient scheduling, appointment confirmations, and follow-ups.
• Familiarity with insurance verification and authorization processes is preferred.
• Strong multitasking and organizational skills are essential.
• Ability to balance calls, documentation, scheduling, and other administrative tasks.
• Consistent adherence to established scripts, workflows, and procedures is necessary.
• Hands-on experience with WebPT is strongly preferred, though not mandatory.
• Experience with other EHR/EMR systems and strong clinical documentation skills are acceptable.
• Familiarity with RingCentral, AppToto, or similar platforms is a plus.
• Relevant work experience is required.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Must be available for video meetings with the camera on when required.
• A reliable laptop or desktop computer is necessary.
• A stable high-speed internet connection of at least 25 Mbps is required.
• A noise-canceling headset and a working webcam are essential.
• A quiet and professional work environment is crucial.
• Ability to work independently as a committed full-time team member.
