This is a fully remote position, open to applicants in United States.
• Manage the complete hiring process for cycle staff from start to finish, which includes Rippling hiring workflows, offer letters, confidentiality agreements, I-9 and E-Verify checks, as well as onboarding tracking.
• Collaborate with external HR partners regarding account setup, documentation, and communication for new hires.
• Oversee onboarding logistics, which encompass platform access, Google Groups, calendar invitations, notifications, and the completion of checklists.
• Provide assistance with the general support inbox, prioritizing client and HR inquiries.
• Set up and test new client program configurations within the organizing platform.
• Record and distribute notes from client meetings that capture decisions, responsible parties, and deadlines.
• Generate and assign follow-up tasks while diligently tracking their completion, including with senior personnel.
• Maintain staffing rosters, task boards, and process documentation accurately.
• Handle sensitive personnel and client information with the utmost discretion.
• Offer program inbox coverage during peak periods.
• Support Voter Protection initiatives by addressing incoming queries and escalations.
• Take on additional responsibilities as program requirements evolve.
• 2–3 years of experience in project management, operations, HR or people operations, or client-facing coordination.
• Familiarity with HR platforms like Rippling is advantageous.
• Knowledge of hiring processes such as E-Verify, offer letters, and onboarding compliance is a plus.
• Excellent organizational skills for managing multiple inboxes, task trackers, and competing deadlines.
• Experience in taking and distributing notes during external client meetings.
• Comfortable in following up with senior staff and ensuring adherence to deadlines.
• Proficient in clear and professional written communication, particularly in client-facing emails.
• Familiarity with startup-style technology platforms or a willingness to learn and adapt to new technology structures.
• Exhibit discretion and sound judgment when handling confidential personnel and client information.
• Self-motivated in a remote work environment, with strong habits in Slack and asynchronous communication.
• Access to a computer, reliable internet, and a workspace conducive to focused, deadline-driven tasks.
• Availability for flexible hours, including some evenings and weekends during peak recruitment and event periods.
