Operations Manager – Luxury Portrait Studio

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Manage the weekly and monthly operational rhythm across marketing, sales, studio, guest experience, and production.

• Keep our operations wiki (SOPs, checklists, Loom videos) updated and ensure documentation is utilized effectively.

• Oversee cross-functional projects (CRM automations, guest welcome flows, studio-to-production handoffs, and reducing no-shows) from start to finish.

• Facilitate hiring processes, access management, and onboarding to ensure new team members learn from documentation, not just informal conversations.

• Take responsibility for CRM utilization and data integrity in collaboration with our Tech Lead.

• Supervise our operations assistant and offshore operational support (e.g., PH VAs, retouchers, HR administration).

• Work with production vendors on ongoing workflows and troubleshoot operational challenges.

⛳️ Requirements

• Minimum of 3 years in operations, project management, or business operations within a service, hospitality, clinic, studio, or agency setting.

• Demonstrated experience managing reporting rhythms and project management boards (Asana, Notion, ClickUp, or similar tools).

• Proficient in daily CRM usage and enforcing its proper application.

• Exceptional written communication skills and keen attention to detail in remote, asynchronous environments.

• Strong organizational abilities and sound decision-making skills in a fast-paced, execution-oriented atmosphere.

• Comfortable holding colleagues and senior team members accountable to processes and deadlines.
