This is a fully remote position, open to applicants in Philippines.
• Facilitate bi-monthly payroll processing and ensure precise tracking of PTO and sick leave.
• Conduct weekly team meetings while organizing team engagement activities and staff appreciation programs.
• Oversee bi-annual performance evaluations and track team Objectives and Key Results (OKRs).
• Coordinate onboarding processes for new team members, including internal training and IT setup.
• Manage training budgets and evaluate ongoing team training requirements along with professional development objectives.
• Analyze metrics on team time tracking, utilization, and productivity.
• Prepare reports on client time and conduct budget analyses.
• Manage alterations in client budgets and transitions in team assignments.
• Plan for future hiring requirements and assist in capacity planning for new client onboarding.
• Supervise team scheduling, availability, and monitoring of time-off requests.
• Administer onboarding needs for new clients, coordinating personnel and IT requirements from contract signing through the initial monthly check-in.
• Monitor client engagement metrics and facilitate annual client satisfaction surveys.
• Conduct regular Quality Assurance (QA) reviews and uphold SOP standards throughout the organization.
• Prepare and analyze monthly invoices while managing the collections process.
• Oversee provisioning for new users and manage internal IT ticketing systems.
• Optimize cloud platform usage and mitigate internal system “bloat”.
• Maintain responsibility for client and team databases within Airtable.
• Support marketing operations by ensuring adherence to brand standards and managing the referral program.
• Take ownership of internal SOP documentation while leading communication, training, and change management for process adjustments.
• Bachelor’s degree in Business, Operations, Human Resources, Accounting, or a related discipline.
• A minimum of 4–6 years of experience in operations management, ideally in professional services, accounting, or consulting settings.
• Proven experience in managing HR administration, payroll functions, and workforce planning.
• Exceptional organizational and project management capabilities with a keen eye for detail.
• Proficiency in using cloud-based tools (Airtable, time tracking systems, accounting, or IT platforms).
• Excellent written and verbal communication skills.

• Experience in an accounting, finance, or CFO services environment.
• Understanding of utilization-based staffing models and client budgeting practices.
• Background in managing SOPs, QA processes, and operational documentation.
• Experience supporting remote or distributed teams.
• Familiarity with basic IT administration, systems optimization, or workflow automation.
