This is a fully remote position, open to applicants in Australia.
• Management of booking and scheduling tasks
• Receive and handle booking requests through email, phone, text, and online forms
• Schedule jobs considering the availability of photographers and optimal location efficiency
• Input bookings into internal systems and organize calendar events for photographers
• Efficiently manage reschedules, cancellations, and last-minute adjustments
• Client communication responsibilities
• Serve as the primary point of contact for client (agent) inquiries and job updates
• Dispatch booking confirmations and delivery emails containing asset links
• Follow up on property access details and specific instructions prior to the shoot day
• Compose property descriptions and copywriting (approximately 1–2 per day)
• Coordination of post-production tasks
• Track job progress through the editing pipeline
• Ensure final asset delivery aligns with agreed turnaround service level agreements (SLAs)
• Collaborate with offshore editing teams to manage priorities and urgent requests
• Assist with administrative duties such as digitizing drone imagery (training provided)
• Preferred previous experience in a Virtual Assistant, Operations Coordinator, or Administrative role.
• Exceptional written English communication skills, especially for client-facing emails and copywriting.
• Highly organized with a keen attention to detail and the ability to handle multiple tasks at once.
• Strong problem-solving abilities and adaptability in a fast-paced environment.
• Proficient in Google Workspace (Calendar, Drive, Gmail).
• Technologically adept with a quick learning ability for new tools and systems.
• Proactive, responsive, and capable of working independently in a remote setting.
• Mandatory availability to work full-time during AEST business hours (9:30am – 5:30pm Melbourne time).
• Experience in real estate, photography, or creative/operations coordination is a significant advantage but not required.
