This is a fully remote position, open to applicants in New York.
• Manage the daily intake of invoices, track payments, follow up with vendors, and coordinate reimbursements.
• Assist with client invoicing, accounts receivable follow-up, collections tracking, and billing coordination.
• Ensure timely delivery of invoices and maintain clear tracking of payment statuses.
• Facilitate prompt vendor payments and streamline approval workflows.
• Monitor team hours, follow up on any missing time entries, and assist in reconciling hours with client agreements.
• Maintain accurate records across Ramp, Gusto, QuickBooks, Monday, and various internal tracking systems.
• Support tracking of expenses, collection of receipts, management of cards, and reimbursement workflows.
• Aid in documenting standard operating procedures and enhancing repeatable finance and operations processes over time.
• Identify and flag issues promptly when there are missing, delayed, or inaccurate items, or when potential downstream problems arise.
• Preferred experience of 0–2 years.
• Strong internship experience is encouraged.
• Highly organized and detail-oriented.
• Strong operational follow-through with a sense of accountability.
• Comfortable managing recurring operational tasks with precision and consistency.
• Excellent written communication skills.
• Quick to learn and work across various systems and tools.
• Capable of managing multiple priorities without oversight.
• Proactive, resourceful, and eager to learn.
• Comfortable in a dynamic startup or agency setting.
