This is a fully remote position, open to applicants in United States.
• Oversee vendor management, insurance, and recurring obligations. Ensure vendor documentation (W-9s, COIs, security questionnaires) is maintained, manage insurance renewals with our broker, and monitor all renewals, filings, and notices for timely completion.
• Keep contracts organized and progressing. Send, track, and file agreements for signatures while diligently following up until execution. Monitor expiration and renewal dates to prevent lapses or unexpected auto-renewals.
• Take ownership of equipment and the SaaS stack. Procure, ship, track, and recover laptops for a distributed team, and manage the inventory of licenses, seats, and expenditures.
• Manage daily people operations. Conduct onboarding and offboarding processes, administer HR functions (benefits, PTO, leave, training) in Justworks, coordinate all recruiting efforts, and ensure the performance review cycle remains on track.
• Assist with our SOC 2 Type 2 program. Gather control evidence in Drata, conduct access reviews, implement company-wide security awareness training, and maintain compliance and vendor documentation records.
• Organize engagement and company events. Arrange venues, travel, and logistics for on-site meetings, all-hands gatherings, and offsite events, and manage recognition (birthdays, anniversaries, milestones), swag, and engagement surveys.
• Follow up on action items. Document commitments from recurring company meetings and ensure they are completed, write SOPs, and prepare data for business reviews and all-hands meetings.
• Take on responsibilities without an assigned owner. As this is a new function, emerging issues often land here first. Part of the role involves determining what should evolve into a formalized process and what remains a one-off task.
• 2-4 years of experience in business operations, people operations, HR operations, chief-of-staff support, or a comparable generalist role, preferably at a startup where you have worn multiple hats.
• Outstanding organizational skills and commitment to follow-through. You effectively track your own commitments, ensuring nothing falls through the cracks.
• Excellent written communication skills. You can produce clear SOPs, polished announcements, and straightforward status updates.
• Ability to navigate ambiguity with a proactive attitude. You prefer to draft an initial version and refine it rather than waiting for detailed specifications.
• Proficient with modern work tools (Google Workspace, Slack, Notion, Linear or similar) and a genuine enthusiasm for leveraging AI to enhance productivity.
