This is a fully remote position, open to applicants in United States.
• Manage the communication channels with our global financial planners, ensuring all inquiries are addressed promptly and escalating urgent matters to senior planning leadership.
• Organize and distribute a regular newsletter to the global financial experts, highlighting important updates and quarterly objectives.
• Oversee scheduled calls for potential interruptions and swiftly resolve urgent issues to safeguard the member experience.
• Assist in the onboarding of new global financial experts, granting access to necessary tools and confirming that each planner is properly set up from an administrative perspective before they start working with members.
• Conduct regular audits of the tools utilized by financial experts, verifying that settings are correctly configured and applying fixes as necessary.
• Ensure rigorous data hygiene across our tools and systems, maintaining accurate and up-to-date planner records.
• Aid our planning leads with SOP documentation to enhance operational procedures and standards.
• Collaborate closely with the Manager of Planner Operations and the Senior Manager of Global Planner Relations, identifying recurring friction points in daily operations and assisting in the testing and development of improved methods.
• A minimum of 2-4 years of experience in operations, coordination, or support, preferably in a dynamic startup environment. Experience living or working abroad or collaborating with international colleagues is a significant advantage.
• Excellent written and verbal communication abilities, with a grasp of and comfort with cross-cultural communication nuances.
• Outstanding attention to detail; you notice misconfigured settings, duplicate records, and typos in newsletters before others do.
• Proficient in database or record management tools (e.g., Airtable or similar).
• Familiarity with mass-email or shared inbox tools (e.g., Mailchimp, Front, Braze, or similar).
• Experience with scheduling software such as Calendly or similar.
• Strong organizational and prioritization capabilities with the discipline to handle a high volume of tasks.
• Self-driven and capable of executing established workflows independently, while knowing when to seek guidance instead of making assumptions.
• Familiarity with incorporating AI into your daily work activities.
