This is a fully remote position, open to applicants in South Africa.
• Oversee and coordinate internal workflows, tasks, and documentation.
• Facilitate operational processes across sales, onboarding, and delivery.
• Manage internal systems, trackers, and reporting dashboards.
• Provide assistance with scheduling, meeting organization, and team logistics.
• Enhance and optimize processes whenever feasible.
• Aid in client onboarding and continuous account administration.
• Serve as a liaison between clients and technical teams.
• Monitor project progress and ensure adherence to deadlines.
• Compile reports, proposals, and client-related documentation.
• Maintain and update CRM systems (e.g., HubSpot or similar).
• Guarantee data accuracy throughout sales pipelines and customer records.
• Assist the sales team with administrative tasks, proposals, and follow-ups.
• Support the invoicing process, purchase orders, and expense tracking.
• Collaborate with the finance team on administrative tasks.
• Assist in reporting on revenue, deals, and operational metrics.
• Provide ad hoc assistance to leadership and commercial teams.
• Help in the creation of presentations, documents, and SOPs.
• Aid in coordinating marketing or outreach initiatives when necessary.
• 3–6+ years of experience in operations, administration, or business support roles.
• Background in a tech, SaaS, IT services, or startup setting is highly desirable.
• Proven experience supporting remote or international teams.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication abilities.
• Meticulous attention to detail.
• Process-oriented with a proactive approach.
• Comfortable navigating multiple systems.
• Proficiency in CRM systems (e.g., HubSpot).
• Familiarity with Google Workspace / Microsoft Office (particularly Excel).
• Knowledge of project management tools (Asana, ClickUp, Monday, etc.).
