This is a fully remote position, open to applicants in Arizona, +8 more states.
• Oversee the complete onboarding process for new employees, starting from offer acceptance to Day 1 and their seamless integration into the organization.
• Organize all pre-employment procedures, such as background checks, drug tests, employee health assessments, I-9 completion, and necessary onboarding paperwork.
• Act as the main liaison for candidates, hiring managers, facilities, and internal stakeholders throughout the onboarding journey, ensuring effective communication and an outstanding candidate experience.
• Arrange and facilitate onboarding events, orientation sessions, training, and meetings with essential stakeholders.
• Track onboarding progress to confirm that all employment prerequisites and compliance timelines are fulfilled before the start date.
• Address escalated onboarding questions and ServiceNow tickets, investigating and resolving issues promptly.
• Conduct onboarding sessions to familiarize new hires with company policies, culture, and organizational expectations.
• Collaborate with hiring managers and operational leaders to ensure new employees receive the necessary tools, access, and resources for a successful start.
• Perform regular follow-ups with new hires and leaders to facilitate a smooth transition and resolve any questions or concerns.
• Keep precise documentation within the Applicant Tracking System (ATS) and other HR platforms to ensure adherence to company policies and regulatory standards.
• Contribute to ongoing process enhancement initiatives by identifying ways to improve the onboarding experience and operational efficiency.
• Utilize Microsoft Excel and other Microsoft Office tools to manage onboarding data, monitor progress, and maintain reporting.
• Uphold confidentiality while managing sensitive employee information and ensuring compliance with HIPAA, I-9, state employment laws, and organizational policies.
• Work effectively within a remote, high-volume team setting while juggling multiple onboarding tasks concurrently.
• A minimum of 2-4 years of professional experience in onboarding, human resources, talent acquisition, HR operations, or a related discipline.
• Proven experience in coordinating high-volume onboarding processes and managing competing priorities effectively.
• Familiarity with HR compliance, including I-9 regulations and state employment laws.
• Excellent customer service and communication abilities, with a talent for cultivating positive relationships with candidates and internal stakeholders.
• Strong organizational, time management, and multitasking skills, with the capability to work independently in a remote setting.
• High level of computer proficiency, including Microsoft Excel and Microsoft Office applications.
• Capability to handle confidential information with professionalism and discretion.
