This is a fully remote position, open to applicants in Philippines, +5 more states.
• Oversee calendars, scheduling, and follow-ups on recurring tasks involving various stakeholders.
• Organize meetings among multiple stakeholders and ensure their confirmation prior to occurrence.
• Safeguard leadership focus time through anticipatory scheduling.
• Develop and sustain reporting cadences and Standard Operating Procedure (SOP) libraries.
• Transform ad-hoc processes into documented, repeatable workflows.
• Create reports, dashboards, and performance trackers utilizing Google Sheets, Excel, or comparable tools.
• Record meeting action items and decisions along with their respective owners and deadlines.
• Monitor action items until completion and highlight stalled items.
• Maintain organization and up-to-date status in Slack, project boards, and similar tools.
• Keep workflow documentation, process maps, and knowledge bases current and accessible.
• Organize boards, folders, and channels to ensure information is easily retrievable.
• Minimize the time founders and leadership spend on administration and routine decision-making.
• Manage routine decisions within established guidelines.
• Identify inefficiencies and propose process enhancements.
• Flag only those issues that necessitate leadership decisions.
• Assist U.S.-based founders, operators, and integrators by converting reactive chaos into systematic execution.
• A minimum of 3 years of experience in roles such as Operations Assistant, Administrative Coordinator, Office Coordinator, Executive Assistant, or related operations support position.
• Proven track record of supporting founders, executives, operations leaders, or diverse stakeholders in a dynamic business setting.
• Demonstrated expertise in calendar management, scheduling, meeting coordination, reporting, SOP development, process documentation, and operational follow-through.
• Strong command of Google Workspace, including Docs, Sheets, Drive, Calendar, and Gmail.
• Proficiency in project management tools such as ClickUp, Asana, Monday.com, Trello, Notion, or equivalent platforms.
• Experience in managing recurring operational workflows, tracking action items, and ensuring deadlines are consistently met with minimal oversight.
• Excellent written and verbal communication skills in English.
• Capability to produce professional documentation, meeting notes, reports, and communications for stakeholders.
• Highly organized with outstanding attention to detail and the ability to manage multiple priorities efficiently.
• Demonstrated problem-solving abilities and the capacity to recognize inefficiencies, suggest enhancements, and construct scalable processes.
• Proficiency in creating and maintaining SOPs, workflow documentation, process maps, and knowledge bases.
• Experienced in preparing reports, dashboards, or performance trackers using Google Sheets, Microsoft Excel, or similar tools.
• Must achieve an 85% or higher in a written SOP/documentation assessment.
• Equipped with a professional home office setup and dependable internet connection.
• Willingness to complete the necessary training assessment.
• Available Monday–Friday from 9:00 AM to 6:00 PM in PST, CST, or EST time zones.
• Preferred: experience supporting franchise, multi-location, or multi-entity businesses.
• Preferred: experience working with U.S.-based founders, executives, or organizations.
• Preferred: familiarity with EOS, Traction, or similar operational frameworks.
• Preferred: experience in establishing an SOP library or knowledge base from the ground up.
• Preferred: background in meeting management.
• Preferred: experience in process improvement.
• Preferred: conversational proficiency in Spanish.
• $1,250 USD/month for the initial 90 days.
• $1,500 USD/month thereafter.
