This is a fully remote position, open to applicants in Alaska, +3 more states.
• Offer front-line administrative and clerical assistance for VA clinics and Community Care scheduling.
• Conduct consult intake, outreach to patients and providers, schedule appointments, and follow up as necessary.
• Oversee appointment schedules, Electronic Wait Lists, recall lists, and pending consults.
• Schedule appointments accurately within VA timeliness standards (≤ 7 calendar days from consult entry).
• Professionally answer phones, screen calls, and appropriately route or resolve inquiries.
• Verify patient identities using two VA-approved identifiers.
• Update and confirm demographic and insurance information during patient interactions.
• Clarify VA insurance collection requirements to Veterans and their families.
• Enter and maintain precise documentation in CPRS / EHRM.
• Collaborate with VA clinical staff and interdisciplinary care teams.
• Aid in clinic access contingency plans, including rescheduling or shifting patients as necessary.
• Report scheduling or access issues to VA supervisors per standard operating procedure.
• Uphold high customer service standards when engaging with Veterans, families, and staff.
• Achieve VA performance standards for accuracy (≥98%), responsiveness, and customer service.
• Engage in required meetings, huddles, reporting, and quality improvement initiatives.
• Complete related administrative tasks as assigned to support daily operations.
• High School diploma or GED equivalent.
• Proficient in written and spoken English.
• Minimum typing speed of 50 words per minute.
• Basic computer skills, including familiarity with Microsoft Office applications.
• Fundamental understanding of medical terminology.
• At least 6 months of customer service experience.
• Capability to work remotely and independently in a professional environment.
• Ability to obtain and maintain a favorable VA background investigation (NACI) and PIV credential.
• No physical or health limitations that would hinder job performance.
• Must complete all necessary VA onboarding, security, privacy, and mandatory training prior to and during the assignment.
• U.S. citizenship is required.
• Ability to sit, stand, walk, lift, squat, bend, twist, and reach above shoulders throughout the work shift.
• Lift up to 50 lbs from floor to waist.
• Lift up to 20 lbs.
• Carry up to 40 lbs a reasonable distance.
• Push/pull with 30 lbs of force.
