This is a fully remote position, open to applicants in District of Columbia, +3 more states.
• Manage all facets of the media vendor billing life cycle, encompassing airtime processing, invoice collection and approval, coding of invoices, and resolution of discrepancies.
• Ensure precision and timeliness in billing that aligns with the expectations of internal finance teams and clients.
• Recognize and implement enhancements to processes aimed at boosting efficiency and minimizing errors.
• Establish and update financial trackers, reconcile budgets against campaign workbooks, archive invoices, and pinpoint any missing invoices.
• Carry out media billing procedures and standard operating protocols across legacy agencies and the Avalere Health business lines.
• Standardize financial workflows and contribute to the development of a scalable media finance infrastructure.
• Act as the primary liaison for media out-of-pocket expenditures within Avalere Health.
• Monitor, manage, reconcile, and report on media-related expenses across various accounts and business units.
• Collaborate with Accounts Payable and Accounts Receivable teams regarding billing schedules, discrepancies, and financial documentation.
• Serve as a bridge between media, finance, and client teams.
• Engage in weekly and monthly client team meetings to discuss budgets, billing status, reconciliation, discrepancies, and forecasts.
• Provide financial insights and reporting to support client-facing teams.
• Assist with vendor onboarding and ensure adherence to billing timelines, formats, and requirements.
• Report directly to the Media Operations Director.
• Bachelor's degree in Finance, Marketing, Media Studies, or Communications.
• 3–5+ years of experience in media finance, agency finance, or media operations.
• Solid understanding of media billing processes, reconciliation, and vendor management.
• Experience collaborating with Accounts Payable and Accounts Receivable teams and utilizing financial systems.
• Exceptional attention to detail and robust organizational skills.
• Capacity to manage multiple stakeholders and deadlines in a dynamic environment.
• Familiarity with Media Ocean, NetSuite, and/or Adobe Workfront.
• In-depth knowledge of the media buying process.
• Proven experience in communicating effectively with internal teams and agency partners.
• Ability to multitask and work collaboratively in a fast-paced setting.
• Strong interpersonal, analytical, problem-solving, negotiation, and conflict-resolution skills.
