This is a fully remote position, open to applicants in United States.
• Intake, planning, and logistics for projects.
• Develop comprehensive event briefs and timelines.
• Identify and reserve venues and locations.
• Coordinate essential event services such as catering, entertainment, AV, and transportation.
• Negotiate and finalize contracts with vendors and stakeholders.
• Oversee menu selection and floorplan design.
• Manage the setup, execution, and dismantling of events.
• Collaborate with the marketing team to produce all event-related materials, including invites, advertisements, and presentations.
• Establish an invitation list in collaboration with local offices and supervise the invitation process.
• Oversee event registration technology and monitor RSVPs.
• Define branding, signage, and promotional item requirements.
• Maintain ongoing relationships with key vendors for future events.
• Keep an updated directory of venues and vendors.
• Create and manage Salesforce marketing campaigns for each local event or initiative.
• Ensure accurate attendance tracking and return on investment (ROI) monitoring.
• Administer and analyze results from post-event surveys, integrating feedback for future events.
• Reconcile event spending against the budget and track costs effectively.
• Ensure all leads generated from an event are systematically documented and monitored.
• Process sponsorship requests from local offices and evaluate their alignment with regional strategies.
• Navigate the internal approval process involving marketing, finance, and compliance teams.
• Collaborate with the content team on marketing materials related to sponsorship and oversee the production of assets.
• Evaluate special project requests from local offices for alignment with regional strategies.
• Manage the planning and execution of special projects.
• Work with the content team on any necessary marketing collateral and oversee asset production.
• Capability to oversee event operations across multiple markets from a remote location.
• Ability to make quick judgment calls in a dynamic work environment.
• A minimum of 3 years of experience in event planning.
• Extensive knowledge of event planning and logistics.
• Proficient in event registration technologies (Cvent, EventSpark, or similar).
• Experienced with Salesforce or another CRM system.
