This is a fully remote position, open to applicants in United States.
• Engage in negotiations with association partners to optimize the value of assigned sponsorships, focusing on lead generation, brand exposure, speaking roles, and attendee interaction.
• Oversee sponsorship contracts, ensuring adherence to deliverables, timelines, and contractual obligations.
• Collaborate with association representatives, vendors, speakers, and internal teams.
• Assess conference and sponsorship prospects by analyzing costs, audience reach, lead potential, and business objectives.
• Manage the entire lifecycle of designated conferences, including contracts, registration, booth arrangements, shipping, vendor coordination, materials, technology, staffing, and follow-up after events.
• Act as the main marketing contact for assigned conferences.
• Create and uphold event timelines, checklists, budgets, and documentation.
• Arrange booth orders, furnishings, signage, giveaways, books, printed materials, lead capture tools, and other event necessities.
• Assist conference speakers and presenters with timelines, materials, logistics, and association guidelines.
• Relay conference plans, responsibilities, timelines, and policies to sales teams and internal stakeholders.
• Identify potential risks or gaps and coordinate with stakeholders to address them.
• Provide remote or in-person event support as needed.
• Reconcile event expenses and monitor spending against approved budgets.
• Establish and oversee lead capture processes, training participants on Mobly or other approved tools.
• Ensure leads are accurately captured, reviewed, and transferred promptly.
• Coordinate lead handoff processes with sales and demand generation teams.
• Monitor and report on lead volume, contact acquisition, event engagement, and other conference metrics.
• Maintain records of event outcomes, insights gained, and follow-up actions.
• Design and produce conference and sponsorship materials, including booth graphics, one-pagers, handouts, signage, presentations, digital advertisements, and promotional graphics.
• Modify existing materials to suit various audiences, formats, events, sponsorship criteria, and production specifications.
• Prepare files for both print and digital production.
• Create reusable templates and manage an organized asset library.
• Oversee asset revisions and version control across multiple concurrent events.
• Collaborate on brand-sensitive or out-of-scope design needs.
• A minimum of 2 years of experience in conference marketing, event coordination, sponsorship management, graphic design, or a similar field.
• Proven experience in creating print and digital marketing materials.
• Proficient in Adobe Creative Suite and/or Adobe Express.
• Experience in managing events or projects with overlapping timelines.
• Capable of managing budgets, deadlines, logistics, and deliverables with minimal supervision.
• Ability to work collaboratively with sales representatives and cross-functional teams in a remote setting.
• Experience overseeing conferences and sponsorships from contracting through to post-event reporting.
• Proven track record in negotiating sponsorship packages, vendor contracts, or association benefits.
• Skilled in managing conference budgets and reconciling event expenses.
• Familiarity with conference lead-capture platforms.
• Understanding of print production requirements, booth graphics, signage, and exhibit vendors.
• Experience working within established brand guidelines.
• Familiarity with the PK12 education market or experience with education associations.
• Willingness to travel for events, including conferences, as necessary.
