This is a fully remote position, open to applicants in Philippines.
• Take ownership of project plans, timelines, and trackers across multiple simultaneous workstreams, ensuring a single source of truth for what is happening, who is responsible, and when tasks are due.
• Facilitate the operational cadence that propels work forward: status updates, check-ins, risk management, and dependency oversight to prevent any stalls.
• Ensure cross-functional projects remain coordinated and free of obstacles across Clinical Operations, Finance, IT, People Operations, and external vendors.
• Develop repeatable playbooks for recurring project types (such as new-market launches, center buildouts, clinic integrations, and vendor onboarding) to enhance efficiency with each iteration.
• Be the trusted individual for leadership on ambiguous, time-sensitive requests: handle projects where the directive is to “figure this out by Friday” and successfully deliver results.
• Act as the execution arm for the Implementation Director, who is responsible for a market’s P&L and operations: translate their priorities into tracked workstreams and drive tactical tasks to completion.
• Assist in launching the first center in a new market by coordinating real estate and buildout operations: manage landlord and contractor relations, permits and occupancy, procurement of furniture and equipment, signage, IT setup, phones, internet, and supplies to ensure timely readiness for children.
• Support the hiring of initial clinicians and clinic leadership in a new market: post job openings, manage interview scheduling and candidate communications, oversee offer logistics, and ensure smooth onboarding, including license and credentialing processes.
• Finalize the contracts and vendor agreements necessary for a new market, ensuring they are organized, tracked, and renewed as needed.
• For acquisitions, oversee the integration processes: EMR migrations, HRIS and ATS setups, Microsoft 365 and email provisioning, credentialing and payer transitions, state-specific compliance filings, and harmonizing acquired team policies and SOPs with ANNA’s standards.
• Support the ongoing operations of established markets: maintain current licensing and credentialing, manage vendor and contract renewals, track operational metrics, and address any recurring items to prevent oversight.
• Tackle operational projects lacking a clear owner: vendor onboarding and license tracking, internal communications support, document and SOP cleanup, ad-hoc research, and similar tasks that maintain the function of a rapidly growing multi-state company.
• Collaborate with Clinical Operations, Finance, IT, and external vendors to ensure operational processes integrate smoothly into adjacent systems and avoid downstream rework.
• Compile thorough research, analyses, and options to support quick decision-making by leadership.
• Translate the CEO’s priorities into tracked, actionable workstreams with defined owners, deadlines, and statuses, owning the follow-through until completion.
• Prepare the CEO and Implementation Director for the week and important meetings: gather pre-reads, organize materials in a timely manner, and capture action items for follow-up.
• Create trackers, dashboards, and lightweight reporting tools that provide leadership with a quick overview of status without needing to ask.
• Offer light coordination and scheduling support for projects you manage, applying sound judgment to determine what to address, what to elevate, and what to defer.
• Utilize Claude daily as your primary partner for thinking, drafting, and execution: project plans, status updates, research, summaries, communications, and data organization.
• Develop Claude Projects, Cowork workspaces, and reusable prompts and skills that formalize how recurring execution work is conducted at ANNA: launch playbooks, center-opening checklists, integration playbooks, vendor tracking, and project reporting.
• Identify manual or repetitive tasks within our processes and replace them with well-defined automations using Claude, MCP servers, Asana, SharePoint, and other systems.
• Document every workflow you create to ensure any team member can execute it; treat the workflow library as a product you own and continuously improve.
• Minimum of 3 years in project management, program coordination, business operations, or chief-of-staff and PMO-style support within a fast-paced environment.
• Proven ability to manage multiple concurrent projects to deadlines with minimal supervision, demonstrating strong organizational skills and tracking discipline.
• Comfort in coordinating logistics among various stakeholders simultaneously (vendors, contractors, hiring managers, internal teams) while maintaining progress.
• Strong daily, hands-on experience with generative AI tools (Claude preferred; ChatGPT, Gemini, Copilot acceptable) beyond casual use; able to discuss specific workflows you've developed.
• Excellent written English communication; maintain a clean, warm, and professional tone in emails, Slack messages, and asynchronous documents.
• Demonstrated capability to work full-time during US Eastern hours (approximately 9 PM – 6 AM Philippine Time) and possess a stable, reliable home work setup.
• High standards for accuracy and discretion; handle sensitive company, employee, and transaction data with appropriate care.
