This is a fully remote position, open to applicants in United States.
• Oversee business development and proposal-capture requests related to real estate and facility needs.
• Support assigned transactions throughout the entire process, from requirements gathering and market surveys to tours, approvals, lease execution, and subsequent actions.
• Assist with larger lease transactions under the guidance of the Senior Manager.
• Retrieve, organize, maintain, review, abstract, and summarize lease agreements and key terms.
• Monitor and schedule important lease dates, deadlines, options, and obligations.
• Collect and compile information, figures, documents, and approvals for Request for Approval packages.
• Prepare, route, track, and follow up on RFA packages, signatures, and outstanding items.
• Collaborate with brokers, landlords, property managers, vendors, legal, finance, and internal approvers.
• Assist in tenant-improvement and buildout projects by tracking documentation, schedules, milestones, budgets, and deliverables.
• Provide daily facilities coordination across sites, including managing service requests and vendor follow-ups.
• Maintain portfolio trackers, status logs, action items, critical-date calendars, approval records, and audit-ready files.
• Compile regular status updates and data for the Senior Manager.
• Enhance and maintain standard operating procedures, templates, file-naming, and document-storage conventions.
• Oversee lease and facilities obligations, insurance certificates, CAM reconciliations, and recurring service tasks.
• Generally, 8+ years of experience in commercial real estate, lease administration, or property or facilities management with a Bachelor’s degree; or 5+ years of relevant experience with a Master’s degree.
• Typically, 2+ years of experience in leading, mentoring, and/or delegating tasks to others.
• Strong working knowledge of commercial lease documents and terminology, including renewals, amendments, options, escalations, TI allowances, and CAM or operating expenses.
• US Citizenship is mandatory.
• Excellent organizational skills and meticulous attention to detail.
• Ability to manage multiple deadlines, documents, and follow-ups effectively.
• Comfortable handling numbers and spreadsheets for compiling, organizing, and cross-checking information.
• Strong, professional written and verbal communication skills.
• Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
• Quick adaptability to approval-routing and tracking tools.
