This is a fully remote position, open to applicants in Florida, +2 more states.
• Oversee Lease Administration resources, which include HR functions for direct reports, client implementations, and relationships with clients and vendors.
• Develop and generate schedules, reports, communication strategies, and process workflows for the designated Lease Administration team.
• Provide lease administration services for designated accounts.
• Lead team management and development; supervise hiring and employment practices.
• Serve as the primary lease analyst for large accounts and guide Lease Analysts who assist with various small and medium-sized accounts.
• Engage in communication with clients, brokers, account managers, and landlords.
• Conduct database quality assurance and identify discrepancies and errors.
• Create, modify, and execute reports within Lease Administration databases.
• Mentor and provide training to Lease Analysts.
• Analyze complex commercial lease provisions.
• Supervise lease abstraction, translation, and quality control procedures.
• Support account transitions and setup processes.
• Maintain account processes, procedures, and playbooks.
• Abstract or input rental obligations and other essential lease details.
• Track and communicate lease expirations, option exercise dates, and other vital information.
• Reconcile outstanding account balances and address disputes with landlords and clients.
• Act as the primary point of contact for clients and internal stakeholders regarding lease administration issues.
• Conduct client meetings and reviews to present portfolio updates, metrics, and performance reports.
• Develop and uphold client governance programs.
• Manage client escalations and resolve associated issues.
• Identify risks within accounts, create mitigation strategies, and manage solutions through projects.
• Ensure global teams provide services per client processes and contractual obligations.
• Participate in pitches for new business and client presentations.
• Delegate database management responsibilities to global team members.
• Set up weekly calls and establish communication routines with global account team members.
• Oversee lease abstraction/input and conduct final quality control checks.
• Utilize Colliers360, dashboards, WorkTrac, and related systems.
• Review recovery clauses, establish recovery pools, calculate tenant recovery expenditures, and assess caps, base years, and exclusions.
• Prepare monthly schedules for rental payments.
• Monitor, review, and approve Rent, CAM, Operating Expense, Tax, and Insurance payments to landlords.
• Examine leases for accuracy in payment charges.
• Validate adjustments based on the Consumer Price Index.
• Maintain file systems and ensure data integrity within databases.
• Manage team allocations and workload distributions.
• A bachelor's degree in business, accounting, real estate, or a related field is preferred.
• A minimum of 7 years of pertinent experience in commercial real estate lease administration and/or accounting and property management.
• Experience in landlord or tenant sectors is required.
• Intermediate to advanced proficiency with various commercial real estate database applications, such as CoStar, Yardi, Apex, ProLease, or Virtual Lease.
• Proven success managing multi-line global accounts with over 1,000 leases and global account management frameworks.
• Intermediate proficiency with Microsoft Office applications, including Word, PowerPoint, Excel, and OneNote.
• In-depth knowledge of FASB/IFRS accounting standards and general accounting principles is preferred.
• A successful history of working independently, ideally in a remote capacity.
• Strong skills in time management.
• Capability to effectively manage personnel and tasks.
