This is a fully remote position, open to applicants in Canada.
• Oversee Lease Administration resources, including direct reports and team development.
• Coordinate client implementations, manage relationships with clients and vendors, schedules, reports, communication strategies, and process workflows.
• Act as the lead lease analyst for major accounts and supervise Lease Analysts handling smaller accounts.
• Engage in communication with clients, brokers, account managers, and landlords.
• Conduct database quality assurance and generate, modify, and execute reports.
• Guide and train Lease Analysts.
• Supervise the processes of lease abstraction, translation, input, and quality control.
• Assist in account transitions and setups.
• Maintain account processes, procedures, playbooks, and client contract details within WorkTrac.
• Abstract and monitor rental obligations, lease expiration dates, option exercise timelines, and other crucial information.
• Reconcile outstanding balances and resolve disputes with landlords and clients.
• Act as the primary contact for clients and internal stakeholders.
• Conduct client meetings and reviews, presenting portfolio updates, metrics, and performance reports.
• Develop client governance initiatives and manage escalations.
• Identify account risks, devise mitigation strategies, and lead project management solutions.
• Ensure global teams deliver services in alignment with client processes and contracts.
• Participate in new business presentations.
• Oversee assignments and database management tasks for global team members.
• Establish communication routines and calls with global lease administration account teams.
• Prepare and lead impactful communications with a professional demeanor.
• Review recovery clauses, establish recovery pools, calculate tenant recovery costs, and assess caps, base years, and exclusions.
• Prepare monthly rental payment schedules.
• Monitor, review, and approve payments for Rent, CAM, Operating Expenses, Taxes, and Insurance.
• Review and validate Consumer Price Index adjustments.
• Maintain file systems and ensure database integrity for tenant and lease information.
• Manage team allocations and workload distributions.
• A Bachelor's degree in business, accounting, real estate, or a related field is preferred.
• A minimum of 7 years of relevant experience in commercial real estate lease administration, accounting, or property management.
• Experience in landlord and/or tenant sectors is required.
• Intermediate to expert proficiency with various commercial real estate database applications, such as CoStar, Yardi, Apex, ProLease, or Virtual Lease.
• Proven success in managing multi-line global accounts with over 1,000 leases and global account management frameworks.
• Intermediate proficiency in Microsoft Office applications including Word, PowerPoint, Excel, and OneNote.
• Comprehensive understanding of FASB/IFRS accounting standards and general accounting principles is preferred.
• A successful history of working independently, ideally in a remote setting.
• Strong time management capabilities.
• Ability to effectively manage personnel and tasks.
• Capacity to interpret complex commercial lease language.
• General knowledge of AI technology and willingness to adapt to technological advancements.
• Must have current authorization to work full-time in Canada.
