This is a fully remote position, open to applicants in Virginia.
• Coordinate and facilitate strategic planning initiatives, including the creation of pre-meeting materials, outreach to stakeholders, support for facilitation, documentation of decisions, tracking of actions, and follow-up activities essential for implementing planning outcomes.
• Aid leadership in converting strategic planning results into actionable workstreams, implementation strategies, milestones, and deliverables.
• Monitor action items, deadlines, dependencies, and priorities across various initiatives and stakeholders.
• Foster communication and collaboration among distributed teams, program leadership, and field-based stakeholders.
• Evaluate current business processes and operational workflows to uncover opportunities for enhanced efficiency, consistency, and effectiveness.
• Record processes, workflows, business rules, and operational procedures through process maps, standard operating procedures (SOPs), guidance documents, templates, and job aids.
• Formulate recommendations to optimize routine program office functions and enhance operational performance.
• Contribute to continuity-of-operations initiatives by documenting institutional knowledge, workflows, decisions, and routine operational tasks.
• Assist in managing recurring program office functions, including tracking personnel requests, staffing actions, budget submissions, communications, and other administrative workflows.
• Create and maintain tracking tools, SharePoint-based solutions, document repositories, and workflow management resources.
• Work in collaboration with technical staff and SharePoint administrators to identify automation and process improvement opportunities using Microsoft 365 tools like SharePoint, Forms, Lists, Teams, and Power Automate.
• Prepare executive summaries, status reports, briefing materials, meeting notes, and updates for leadership.
• Track implementation progress and ensure timely follow-up on assigned actions and decisions.
• Bachelor’s degree in business administration, public health, research administration, organizational development, management, or a related discipline.
• At least four (4) years of experience in supporting complex programs, organizational initiatives, strategic planning efforts, or business operations.
• Proven experience in coordinating activities that involve multiple stakeholders, competing priorities, and cross-functional teams.
• Experience in evaluating business processes and workflows and recommending operational improvements.
• Background in creating SOPs, process documentation, workflow diagrams, guidance materials, templates, or knowledge management resources.
• Exceptional organizational, analytical, facilitation, and problem-solving capabilities.
• Strong written and verbal communication skills, including meeting coordination, stakeholder engagement, executive-level communications, and documentation of decisions and action items.
• Proficiency in Microsoft 365 applications, including SharePoint, Teams, Excel, Word, and PowerPoint.
• Ability to work independently while managing multiple priorities in an evolving environment.
• Capability to obtain and maintain a public trust clearance.
