This is a fully remote position, open to applicants in Philippines.
• Shipment Coordination & Scheduling: Assisting in the organization and scheduling of incoming shipments.
• Aiding in the tracking of shipments from suppliers and manufacturers.
• Supporting the choice of transportation modes (air, sea, road, rail) based on team members' guidance.
• Documentation Support: Assisting in the preparation and organization of essential import documentation (e.g., invoices, packing lists).
• Learning to ensure the accuracy and completeness of documents.
• Aiding in document filing and sharing with appropriate teams or partners.
• Compliance Assistance: Supporting the team in understanding and adhering to customs and import regulations.
• Assisting in the collection of documents for customs brokers and internal purposes.
• Gaining knowledge about the customs clearance process and helping to resolve minor issues under supervision.
• Standard Operating Procedures (SOP) Support: Assisting in documenting processes and updating internal SOPs as instructed.
• Engaging in workflow improvement through collaboration and feedback.
• Supplier & Vendor Communication: Communicating with suppliers via email or phone to verify shipment details.
• Reporting shipment status and updates to internal teams.
• Aiding in resolving basic shipment discrepancies with guidance.
• Cost Awareness & Optimization Support: Assisting in collecting quotes and making rate comparisons for shipments.
• Supporting the tracking and logging of shipping-related expenses.
• Problem-Solving & Risk Support: Reporting delays or issues to senior staff.
• Assisting in documenting and monitoring shipping challenges.
• Learning to support contingency planning and problem resolution.
• Must possess a Bachelor of Science in Customs Administration or a related field.
• Familiarity with Incoterms is essential.
• Experience in managing import and export shipment processes is required.
• A solid understanding of shipping processes and documentation is a must.
• Strong attention to detail and a desire to learn new processes.
• Basic analytical and problem-solving abilities.
• Capability to work independently and manage time effectively, particularly in a remote setting.
• Clear and professional written and verbal communication skills.
• Proficient in using Windows-based desktop software and basic office tools (e.g., Microsoft Word, Excel, email platforms).
• Excellent organizational skills with an emphasis on accuracy and quality.
• Ability to adhere to instructions and standard operating procedures.
• Interest in learning about data entry, document processing, and logistics.
• Willingness to make professional phone calls and communicate with clients or service providers as necessary.
• Exposure to or interest in learning tools like Magaya or CargoWise is a plus.
• Familiarity or experience with pricing workflows, including quotations and sales markups, is advantageous.
