This is a fully remote position, open to applicants in Texas.
• Gather, organize, and verify borrower documentation (e.g., paystubs, W-2s, insurance forms) as instructed by a licensed MLO.
• Aid in the preparation of loan files for underwriting submission by compiling documentation, ensuring completeness, and entering data into loan origination systems, without offering recommendations or credit decisions.
• Communicate with borrowers and third parties (such as title companies, appraisers, and insurance providers) to retrieve missing documents or status updates, following the guidance of a licensed MLO.
• Maintain borrower records and update CRM/loan origination systems (e.g., Encompass, Surefire) with accurate information to support the workflow of licensed MLOs.
• Coordinate the scheduling of appointments for borrowers and referral partners on behalf of Loan Originators/Branch Managers.
• Prepare standard loan-related documents and correspondence (e.g., disclosures, closing packages, letters, status updates) for review and delivery by a licensed MLO.
• Monitor and manage loan pipeline reports to ensure files are up-to-date, escalating any discrepancies to licensed MLOs for review.
• Request additional items needed to fulfill underwriting conditions as directed by the MLO, without interpreting or assessing the adequacy of those items.
• Facilitate communication with borrowers regarding the status of their loan files (e.g., “your appraisal is scheduled,” “we still need a copy of your homeowner’s insurance”) without discussing or explaining loan terms.
• Support marketing and referral partner engagement activities, such as preparing marketing kits, coordinating social media content, scheduling events, and maintaining contact databases, under the supervision of licensed MLOs.
• Assist in managing inbound inquiries by directing borrower questions regarding loan programs, terms, or eligibility directly to licensed MLOs.
• Follow up on outstanding documentation requests from borrowers via phone, email, or secure portal, without providing advice or making eligibility determinations.
• Generate, organize, and track sales/marketing leads in company CRM systems, ensuring leads are directed to licensed MLOs for follow-up.
• Provide general administrative support, including document scanning, file management, supply ordering, and distribution of correspondence.
• Execute other administrative tasks as assigned, as long as they remain clerical or supportive in nature and do not involve offering or negotiating loan terms.
• High school diploma or equivalent is required; a college degree in business or a related field is preferred.
• At least one year of experience in mortgage, financial services, or administrative roles is preferred.
• Proficient in Microsoft 365 and familiar with Encompass or similar loan origination software.
• Excellent verbal and written communication skills coupled with professional phone and email etiquette.
• Ability to handle multiple tasks, effectively prioritize, and meet deadlines in a fast-paced environment.
• Exceptional attention to detail and accuracy in documentation.
• Customer service-oriented with the capability to build and sustain positive relationships.
