This is a fully remote position, open to applicants in United States.

📋 Description

• Facilitate a smooth transition from loan quote to intake, ensuring precision and efficiency.

• Assist loan officers in managing intake workflows and guaranteeing prompt follow-ups.

• Enhance process efficiency by maintaining well-organized and up-to-date data and documentation.

• Oversee loan transitions from quote status to intake, ensuring accuracy and prioritization.

• Supervise the loan intake queue and initiate file setup according to submission dates.

• Assess loan documentation for completeness and accuracy.

• Create digital folders and input essential borrower and entity information into the loan origination system.

• Request and upload third-party reports from external platforms.

• Dispatch and follow up on initial document requests to key contacts.

• Collaborate internally with appraisal specialists, processors, and the operations team to ensure timely file progression.

• Keep accurate communication notes within internal systems.

• Utilize internal checklists to confirm that all necessary documents are gathered and accurately categorized.

• Conduct preliminary quality control on documents and escalate issues when required.

• Monitor loan files with status dashboards and checklists to track progress.

• Transition files to the next stage once all intake requirements are fulfilled.

• Ensure that data and documentation in both the CRM and LOS are consistently updated.

• Follow up daily for outstanding documents and escalate delays as necessary.

• Record all follow-ups and status changes in internal systems.


⛳️ Requirements

• 1–3 years of experience in mortgage, lending, financial services, or operations support.

• Strong practical knowledge of loan documentation, loan file structures, and intake workflows.

• Proficiency with CRM systems (Salesforce) and loan origination systems (experience with LendingWise is advantageous).

• Competence in Microsoft Office, particularly Excel and Outlook.

• Proven ability to adhere to structured processes and standard operating procedures (SOPs).

• Exceptional attention to detail and data accuracy.

• Strong written and verbal communication skills.

• Capability to manage multiple tasks and deadlines in a fast-paced environment.
