This is a fully remote position, open to applicants in Brazil.
• Oversee and track supporting documentation and case information for a high volume of requests.
• Administer the operation's shared email inbox, which includes triaging, organizing, routing, and following up on incoming communications.
• Recognize urgent demands, deadlines, client inquiries, and other matters that require prioritized attention.
• Supervise emails forwarded to relevant departments and individuals, conducting follow-ups and requesting responses as needed.
• Monitor and manage internal deadlines to ensure all steps are completed in response to legal demands.
• Execute certifications and uphold internal process-related controls.
• Track responses from involved departments, following up and requesting necessary actions when appropriate.
• Solicit, oversee, and arrange the supporting documentation, documents, and information necessary for preparing defenses.
• Organize and manage the client’s physical and digital documents and case files.
• Provide operational assistance to the legal team, ensuring that the required information and documents are available within set deadlines.
• Identify pending items, foresee risks, and take proactive measures to mitigate deadline-related issues.
• Maintain controls, systems, and information current, enhancing the organization and efficiency of operations.
• Draft administrative responses for Procon matters in line with internal guidelines and procedures.
• Bachelor’s degree in Law, or a law graduate without an active bar license (Required).
• Excellent organizational skills, attention to detail, and a strong sense of responsibility.
• Strong written communication skills and the ability to collaborate effectively as part of a team.
• Proactive approach and dedication to meeting deadlines and delivering quality work.
• Capability to handle a large volume of demands in fast-paced environments.
• Competence in using spreadsheets (Excel or Google Sheets).
• Experience with legal and case management systems.
• Ability to quickly adapt to and utilize new digital tools.
• Previous experience in corporate legal departments or law firms.
• Familiarity with legal administrative processes and collaboration with internal departments.
• Training in legal or legal process management (preferred).
• Knowledge of deadline management and service-of-process tracking (preferred).
