This is a fully remote position, open to applicants in Utah.
• Act as the primary owner and subject matter expert for programs related to leave of absence and workplace accommodations.
• Oversee the complete leave of absence and accommodation processes, including FMLA, military leave, medical leave, short-term disability, long-term disability, and other relevant federal, state, local, or company-sponsored leave programs.
• Serve as the principal point of contact for employees, managers, HR teams, and other internal stakeholders regarding leave procedures, workplace accommodations, documentation requirements, timelines, eligibility, rights, responsibilities, and compliance standards.
• Collaborate with managers and HR Business Partners to evaluate essential job functions, operational impacts, temporary restrictions, return-to-work needs, accommodation effectiveness, and potential undue hardship considerations.
• Deliver timely, clear, and empathetic communication to employees throughout the leave and accommodation processes, covering required notices, documentation expectations, deadlines, approval status, extensions, return-to-work requirements, and next steps.
• Ensure accurate, complete, and confidential case records, documentation, approvals, communications, and supporting materials are maintained in relevant HR systems and case management tools.
• Track open leave and accommodation cases to guarantee timely follow-up, proactive compliance with necessary deadlines, appropriate risk escalation, and a consistent employee experience.
• Assess leave and accommodation trends, case volume, timelines, outcomes, and recurring issues to identify areas for process improvements, training needs, and opportunities for risk mitigation.
• Stay informed on changes to federal, state, and local leave and accommodation laws and suggest updates to policies, procedures, communications, and practices as necessary.
• Perform other duties as assigned.
• Minimum of 4 years of progressive experience in administering leave of absence and workplace accommodation programs; experience independently managing an end-to-end leave and ADA accommodation function is highly preferred.
• Extensive working knowledge of FMLA, USERRA, PWFA, short-term disability, long-term disability, state leave laws, and employment compliance requirements.
• Proven experience managing the ADA interactive process, which includes medical documentation review, essential functions analysis, accommodation evaluation, implementation support, and case documentation.
• Demonstrated ability to coach and educate employees and managers on policy requirements, process expectations, documentation needs, and compliance obligations.
• Strong consultative and proactive partnership approach, capable of balancing employee needs, business operations, legal compliance, and company policies.
• Exceptional written and verbal communication skills, including the ability to draft clear employee communications, manager guidance, case summaries, and documentation.
• Familiarity with HRIS, case management, benefits, or leave administration systems; experience with Workday is preferred.
• Analytical mindset with proficiency in Excel or other tools for reporting, tracking, and identifying trends in leave and accommodations.
• Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred; equivalent experience will also be taken into consideration.
• Experience supporting multi-state U.S. employee populations is preferred.
