IT Portfolio and Demand Management Specialist

This is a fully remote position, open to applicants in Arizona, +12 more states.

📋 Description

• Oversee IT demand management by gathering, assessing, and prioritizing technology requests.

• Set and uphold intake standards, categorizing demands as service requests, enhancements, optimization projects, or initiatives.

• Create and share portfolio dashboards, executive summaries, scorecards, and pipeline reports.

• Collaborate with business and IT stakeholders to structure and enhance business cases.

• Manage approvals, estimates, discovery findings, architectural evaluations, and stakeholder alignment.

• Lead cross-functional evaluations of regulatory, security, technical, and operational risks.

• Supervise and manage the demand intake lifecycle from submission through approval, deferral, rejection, or conversion.

• Organize assignment and monitoring of non-project work through operational pathways.

• Ensure that initiatives comply with legal, regulatory, privacy, and organizational standards.

• Govern the demand pipeline and portfolio backlog through scoring, ranking, prioritization, and sequencing.

• Develop and enhance prioritization criteria, scoring methods, and review procedures.

• Facilitate regular demand and portfolio review meetings and prepare decision-making materials.

• Keep accurate portfolio data, approvals, scores, estimates, and disposition decisions in management tools.

• Utilize ServiceNow Strategic Portfolio Management for demand, portfolio, resource, project, reporting, and workflow management.

• Collaborate with the PMO to monitor portfolio health and strategic value delivery.

• Track IT resource capacity and advise on timing, sequencing, and trade-offs.

• Create and sustain tools, templates, and intake frameworks for resource planning and demand transparency.

• Work alongside project and operational leaders to oversee execution and adjust allocations or priorities.

• Ensure timely, efficient, and accurate customer service delivery.

• Uphold the organization's vision, mission, values, safety, confidentiality, compliance, and corporate integrity.

• Engage in process improvements using Lean principles, concepts, and tools.

• Carry out additional duties of similar complexity as assigned.

⛳️ Requirements

• Bachelor’s degree or a combination of education, relevant industry certification, and experience to fulfill the full scope of the position.

• At least five (5) years of IT or related professional experience.

• Recent experience, ideally within the last three to five years, in supporting demand intake, portfolio coordination, project intake, operational prioritization, or resource capacity planning.

• Experience in a healthcare, clinical, hospital, ambulatory, affiliate, or similarly regulated setting.

• ServiceNow experience is highly preferred, particularly with ServiceNow Strategic Portfolio Management, Demand Management, Project Portfolio Management, Resource Management, reporting, workflow automation, resource visibility, intake scoring, prioritization, and portfolio decision support.

• Experience with comparable enterprise portfolio management platforms may be considered.

• Willingness to travel to business functions, trainings, and meetings at St. Charles Health System and affiliate locations; occasional overnight travel may be required.

• Proficient in reading, writing, and speaking English.

• Intermediate to advanced skills in Microsoft Outlook, Word, Excel, and Visio.

• Intermediate to advanced proficiency in database management and document preparation.

• Proven experience with computer applications for project management and electronic medical record systems.

• Experience using ServiceNow or similar enterprise workflow, ITSM, demand management, or portfolio management platforms is highly preferred.

• Must be able to wear the required personal protective equipment.

• Capable of fulfilling the stated physical requirements.
