IT Portfolio and Demand Management Specialist

This is a fully remote position, open to applicants in Arizona, +12 more states.

📋 Description

• Facilitate the management of IT demand by capturing, assessing, and prioritizing technology-related requests.

• Establish and uphold standards for the intake of service requests, enhancements, optimization initiatives, and projects.

• Create and share portfolio dashboards, executive summaries, scorecards, and pipeline reports.

• Collaborate with business and IT stakeholders to organize and enhance business cases.

• Coordinate the approvals, level-of-effort estimates, discovery findings, architectural reviews, and stakeholder alignment.

• Lead the evaluation of regulatory, security, technical, and operational risks.

• Oversee the demand intake lifecycle, managing submissions, triage, discovery, estimation, approvals, deferrals, rejections, or conversions.

• Manage non-project work through the appropriate operational pathways.

• Review proposed initiatives to ensure legal, regulatory, privacy, and organizational compliance.

• Govern the demand pipeline and portfolio backlog through scoring, ranking, prioritization, and sequencing.

• Define and refine the criteria for prioritization, scoring methods, and review practices.

• Organize recurring demand and portfolio review forums and prepare necessary decision materials.

• Maintain precise portfolio data within demand and portfolio management tools.

• Utilize ServiceNow Strategic Portfolio Management capabilities for intake, tracking, prioritization, reporting, and workflow automation.

• Collaborate with the PMO to monitor portfolio health and the delivery of strategic value.

• Track IT resource capacity and recommend timing, sequencing, and trade-offs.

• Design and sustain tools, templates, and intake frameworks for resource planning and effort estimation.

• Partner with project and operational leaders to oversee execution and adjust allocations or priorities as needed.

• Ensure timely, efficient, and accurate customer service.

• Support the organizational vision, mission, values, safety, confidentiality, compliance, and corporate integrity.

• Work together on process improvements utilizing Lean principles, concepts, and tools.

• Perform additional duties of similar complexity as assigned.

⛳️ Requirements

• Bachelor’s degree or a combination of education, relevant industry certification, and experience to fulfill the complete scope of the position.

• A minimum of five (5) years of professional experience in IT or a related field.

• Recent experience, ideally within the last three to five years, in supporting demand intake, portfolio coordination, project intake, operational prioritization, or resource capacity planning.

• Experience in a healthcare, clinical, hospital, ambulatory, affiliate, or similarly regulated environment.

• Proficient in reading, writing, and speaking English.

• Intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and Visio.

• Intermediate to advanced skills in database management and document preparation.

• Proven ability and experience using computer applications for project management.

• Familiarity with electronic medical record-keeping systems.

• Ability to wear necessary Personal Protective Equipment (PPE).

• Willingness to travel to all St. Charles Health System and affiliate locations as required.

• Approved residence in Oregon, Arizona, Arkansas, Florida, Idaho, Missouri, Montana, Nevada, New Mexico, North Carolina, Oklahoma, Tennessee, Utah, or Wisconsin.

• Experience with ServiceNow is highly preferred, especially with ServiceNow Strategic Portfolio Management, Demand Management, Project Portfolio Management, Resource Management, reporting, workflow automation, resource visibility, intake scoring, prioritization, and portfolio decision support.

• ServiceNow CIS-SPM certification or completion of ServiceNow Strategic Portfolio Management training is preferred.

• At least one IT or professional certification such as ServiceNow, ITIL, PMP, Agile, Lean, or portfolio management certification is preferred.
